OVERVIEW: Provides support with the daily activities of a medical office including filing, telephone coverage, appointment scheduling, registration, and patient eligibility by performing the following duties.

ESSENTIAL FUNCTION OF JOB:

  • Routinely demonstrates superior customer service skills.
  • Transfer calls to physicians and nurses when medically indicated.
  • Accurately takes messages and conveys information to the recipient.
  • Obtains current patient information from established and new patients.
  • Schedules appointments and re-schedules appointments as needed
  • Scans information into EHR
  • Categorizes, dates, and labels loose medical documents.
  • Scans loose medical documents per protocol.
  • Accurately enters/updates patient information in the practice management system.
  • Assists patient with completing paperwork when necessary.
  • Identifies payer source, verifies insurance eligibility, verifies financial status and assigns correct pay type.
  • Notes patient arrival in EHR.
  • Accurately pre-screens medical/dental records.
  • Prints schedules for upcoming appointments.
  • Verifies insurance eligibility and obtains authorization for dates of service.
  • Reviews Practice Management System for needed updated demographics and consent forms.
  • Attaches needed updated demographics and consent for to schedule.
  • Identifies patients by date of birth and name in RPMS, BMW scheduler or EHR.
  • Sends letters to No Show appointments and notes is appropriately in the scheduler.
  • Accurately imports registration documents into patient's electronic health record.
  • Performs prescreening process for add-on appointments.
  • Answers telephone in a timely and polite manner, preferably within three rings.
  • Communicates with customers in a courteous, professional, cooperative and mature manner.
  • Recognizes and responds appropriately to violent/abusive situations, bomb threats, and emergency situations.
  • Protects/observes patient confidentiality per policies and procedures, CFR 42 part 2, and all pertinent HIPAA requirements.
  • Operates tribal vehicle(s) to transport LEKT patients to health-related appointments.
  • Communicate access and/or loading problems to supervisor.
  • Maintain passenger and vehicle usage records.
  • Keep vehicle interior clean. Report any vehicle maintenance concerns to supervisor.
  • Submit incident/accident report to supervisor or designee within 24 hours.
  • Responsible for keeping updated on all transportation policies and procedures.
  • Must get prior authorization from supervisor or designee to transport passengers.

DESIRED QUALIFICATIONS:

  • Education/Training Level
  • High School Diploma or equivalent.
  • Medical Office experience preferred.
  • Communication Skills
  • Ability to effectively interact with physicians, patients and other staff members.
  • Ability to effectively read, write and type clear message electronically and verbally.
  • Technology Skills
  • Demonstrates knowledge of proper, safe, efficient usage of current office equipment and software.

OTHER DESIRED QUALIFICATIONS:

  • Must have current Washington State driver license and an insurable driver’s record.
  • Must have clean driving and criminal record of at least three years.
  • Pass a background check and meet requirements.
  • Pass a Driver Abstract Report
  • Good knowledge of the safe operations of vehicles and the Washington State Motor Vehicle Laws.
  • Experiences working with Native American and other diverse communities
  • Experiences with working with RPMS, Electronic Health Records or equivalent data based systems.

PHYSICAL REQUIREMENTS:

  • Duties are performed in a generally comfortable environment.
  • Prolonged standing or sitting may be involved.
  • Lifting at least 25 lbs.
  • Bending, squatting, stooping, reaching also involved.
  • Must be alert, attentive and focus when operating a vehicle.

WORKING CONDITIONS:

  • Job duties are routine in nature, but situation may vary occasionally; policy and procedure provide direction for solving non-routine situation. Employee is expected to consult with management for any situation for which precedent does not exist.
  • Job duties involve routine interaction with others, including providing assistance and limited direction. Contacts are generally, cordial and non-confrontational.
  • May be required to perform the duties of other employees, including supervisors/managers, in their absence.
  • May be required to perform duties and responsibilities not listed in this description, on a temporary or long-term basis.
