Media Coordinator
The Media Coordinator supports the planning, buying, execution, billing/reporting of offline media campaigns with opportunities to expand into digital as interest and experience grow. This role is ideal for someone highly organized, curious, and eager to learn the ropes of media strategy and operations from the ground up.
Key Responsibilities:
Media Operations & Support
- Create and update flowcharts and media plans in Google Sheets
- Assist in the development of POVs (Points of View) for media opportunities
- Generate and process Insertion Orders (IOs) for traditional media buys
- Complete traffic grids and work closely with internal trafficking/production teams to ensure timely delivery of creative assets
- Reach out to vendors for avails, pricing, media kits, and inventory checks (OOH, print, broadcast, etc.)
Billing & Reporting
- Work with finance and vendors to resolve billing discrepancies
- Track impression delivery, proof of performance (POP), and airchecks for all buys
- Organize and maintain documentation for campaign performance, delivery, and invoice backup
- Support internal and client-facing reporting calls by taking notes, preparing summaries, or reviewing performance
Vendor Communication & Collaboration
- Schedule, coordinate, and participate in vendor calls (including taking notes and flagging key takeaways)
- Maintain positive vendor relationships and keep internal teams updated on relevant opportunities
- Stay organized with follow-ups and proactive check-ins
Cross-Departmental Coordination
- Partner with planners, buyers, and creative/production teams to ensure campaigns are running smoothly
- Learn and support broadcast, OOH, and print buying processes
- Collaborate with team members on process improvements and documentation
Skills & Qualifications:
- Bachelor's degree in Marketing, Advertising, Communications, or related field preferred
- 0–2 years of experience in media, marketing, or an agency environment
- Familiarity with traditional media channels (TV, radio, OOH, print) a plus
- Interest in learning digital media platforms is encouraged
- Strong proficiency in Google Workspace (Docs, Sheets, Slides) and Microsoft Office
- Excellent organizational and time management skills; detail-oriented and deadline-driven
- Clear and professional written and verbal communication
- Self-starter with a team-oriented mindset
Nice to Have:
- Experience with media buying and research platforms (e.g., STRATA, eSilentPartner, Telmar, Scarborough/MRI, Vivvix)
- Previous internship or agency experience
- Interest in media trends, audience targeting, and analytics
