Summary
The primary purpose of this position is to provide clerical/administrative support to Headquarters’ staff, chiefly the Occupancy and Housing Choice Voucher Program (HCVP) Departments and to provide front-line customer service to Low-Income Public Housing (LIPH) and HCVP participants. The incumbent receives all phone calls and in-person inquiries to the Headquarters office.
All activities must support the Lucas Metropolitan Housing (“LMH”) mission, strategic goals, and objectives.
Essential Duties and Responsibilities
The position duties and responsibilities listed below describe the general nature and scope of work. Other responsibilities, duties, and skills may be required and assigned, as needed.
- Answers incoming calls and receives walk-in visitors, responding to inquiries or directing matters to the appropriate staff member; receipt payments received by residents/clients.
- Receives employee attendance calls on behalf of the Agency, and relays information to the appropriate supervisor; prepares appropriate attendance to submit to Human Resources and Payroll as required.
- Prepares office correspondence such as letters, forms, reports, and other materials; copies, collates, and prepares agency correspondence for distribution.
- Establishes and maintains filing system and clerical procedures for housing applicants; maintains accurate and essential files while confirming the security of such records.
- Receives, sorts, and distributes mail in a timely and accurate manner. Ensures mail is prepared for delivery by Courier, including interoffice and regular postal mail.
- Serves as a back up to the Clerical Specialist (Customer Service Representative) to assist with answering phone calls received for Housing Choice Voucher Program.
- Assists other departments as requested by the department heads.
- Maintains inventory of office supplies and restocks as required. Assists with maintaining the supply areas. Assists the Senior Executive Assistant with order requests.
- Demonstrates regular and predictable attendance.
- Meets all job safety requirements and all applicable OSHA/PERRP safety standards that pertain to essential functions and maintains licenses and certifications as required.
- Performs other duties as assigned.
Education and/or Experience
High School Diploma or GED equivalent and a minimum of one (1) year of general clerical experience. An equivalent combination of education and experience may be considered. Must possess a valid Ohio or Michigan driver’s license and be insurable under the Agency’s plan.
Technical Skills
To perform this job successfully, the employee should have strong computer skills (e.g. MS Word, Excel, PowerPoint, and Outlook). Must have the ability to learn other computer software programs as required by assigned tasks.
