Job Title: Medical Assistant
Pay: $62,500 (at 40 hrs/week); $30 per hour
Hours: 32-40 hrs/week (Full or Part-Time)

Organization Mission

The mission of Lyon-Martin Community Health Services is to provide high quality, compassionate and trauma-informed medical, gynecological, and mental health care services to trans, non-binary, gender non-conforming, and intersex communities and cis-gender women with specific sensitivity to LGBQ sexual orientation, disability, size, race, ethnicity, and language, regardless of immigration status or ability to pay.

We aim to address and eliminate health inequities for our communities by rooting our clinical practice in core foundational intersectional frameworks of anti-racism, self-determination, harm reduction, and reproductive and disability justice. Job Summary

The Medical Assistant (MA) is an essential clinical team member who provides high quality, client centered care to our clients. They support the flow of our clinical care from the moment patients enter the clinic to the time they leave by participating and being cross-trained in a wide range of duties: front desk check-in and check-out, patient rooming and vitals collection, laboratory support (including phlebotomy and injections), patient education, and clinician support. They participate in quality control, help identity needed preventative health care for patients, submit and follow-up on prior authorization for patient medications, check patient’s insurance coverage and/or eligibility for coverage programs, and follow up on medical record requests and lab results. The medical assistant works closely with the whole clinical team to keep the schedule moving smoothly, while ensuring clients receive all necessary care during and between visits by prioritizing tasks for quality and efficiency and prioritizing excellent internal and external communication.

Medical Assistants are expected to provide all patient care in a sensitive and non-judgmental manner, to maintain a high degree of professional competence and the highest possible ethical standards, and to function as part of a care-giving team. They, along with all staff at Lyon-Martin, are also expected to uphold and imbue in others a commitment to addressing racism, ableism, gender and sexual discrimination within the organization and our clinical practice.

Key Responsibilities

Medical Assisting

  • Manage daily schedule and clinic flow for assigned primary care provider.
  • Room clients, take vitals, gather medical history and chief complaint.
  • Accurately enter all relevant clinical information into Electronic Health Record.
  • Run in-house lab tests such as pregnancy tests, urinalysis, Rapid HIV, PPD.
  • Perform phlebotomy and package labs to be sent out for processing.
  • Perform electrocardiograms (EKG), visual testing, peak flow meter, administer nebulizer treatments with provider direction.
  • Assist with gynecological procedures such as pap smears, colposcopy, IUD insertions, Nexplanon insertions, endometrial biopsies, ultrasounds, etc.
  • Assist with primary care procedures such as incision & drainage, joint injections, ear lavage, etc.
  • Provide health education and materials to clients, including health-related issues such as sexual health, preventative care, chronic care management, insurance coverage, referrals, follow-up care.
  • Draw up and administer medications and vaccines.
  • Draft letters of accommodation, letters of diagnosis, letters to help update identity documents to reflect gender identity, etc. as directed by primary care provider.
  • Support clinicians with client follow up care as needed.

Clinic preparation

  • Scrub the schedule for the next day to ensure there are no scheduling errors.
  • Chart prep for the next day to prepare in advance to ensure provider is aware of health care maintenance items due, to ensure we have any records needed to complete the visit, to ensure any follow-up actions from the previous visit are addressed.
  • Run pre-clinic team huddle meetings to prep for the day, bringing attention to items from chart prep.
  • Clean and set up exam rooms before visits and clean exam rooms after each visit.
  • Clean and sterilize lab and medical equipment using impeccable infection control technique.
  • Complete assigned monthly quality assurance duty in a timely manner.
  • Conduct inventory of supplies, medication and vaccines; notify Clinic Director when ordering is needed.
  • Restock rooms, laboratory and medicine cabinets as needed.
  • Follow up with external locations to retrieve lab results and handling testing issues

Scheduling/Admin

  • Respect names and pronouns of clients and staff at all times, ensure this information is communicated to the team and entered appropriately in the chart
  • Check out all clients, ensuring that all clinical care has been completed and follow up needs have been initiated.
  • Communicate continuously with the rest of the team regarding schedule changes.
  • Collaborate with providers to reschedule appointments when needed.
  • Manage waitlist to ensure appointments are fully utilized.
  • With the assistance of the Charge RN, triage walk-in appointments.
  • Manage recalls list to ensure clients return for follow-up care in a timely manner.
  • Support call center by making reminder calls for upcoming appointments as needed.
  • Respond to medical records requests from clients, providers and other HIPAA-approved entities
  • Process incoming medical records and attach records to patient’s chart.
  • Outreach to new clients assigned to us by Medi-Cal managed care plans.
  • Perform in reach to established clients to ensure they receive preventative care screenings in a timely manner.
  • Assist with coordination of client referrals as needed.
  • Respond to appointment requests, refill requests, clinician call backs, and other client needs
  • Route incoming faxes/e-mail communication to appropriate staff member.
  • Monitor outgoing faxes to ensure completion.
  • Send mail/e-mail to client as appropriate.
  • Receive incoming mail and packages and triage as appropriate
  • Document in medical chart clearly, concisely and accurately
  • Train other staff on duties as needed
  • Support clinic administrative tasks including, but not limited to, updating clinic forms, data entry, and handouts
  • Provide IT support backup and troubleshooting related to clinical care processes
  • Maintain confidentiality and HIPAA standards at all times
  • Provide support and assistance to individuals with complex medical and/or mental health needs.
  • Participate in case conference meetings with the interdisciplinary team to develop and implement care plans to address clients’ identified goals.
  • Coordinate care with collateral supports to improve stability with psychosocial, mental health and/or medical concerns. This includes collaborating with case managers, therapists, hospital discharge planners, housing staff, etc.
  • Provide a warm and welcoming atmosphere and excellent customer service.

Education, Knowledge, Skills

  • At least one year experience working in a healthcare environment
  • Knowledge of clinical documentation (treatment plans, terminology, etc)
  • Culturally sensitive/humble and able to work with a diverse population
  • Experience working with lesbian, bisexual, transgender, non-binary, gender non-conforming, and intersex clients.
  • Experience working with populations with varying disabilities, racial, ethnic and cultural backgrounds and economic statuses.
  • Experience working with clients who do sex work, those experiencing homelessness, people who have challenges with mental illness and/or are using substances, those of with a history of incarceration, people of varying ages.
  • Excellent computing and data entry skills. Experience using Microsoft Office programs.
  • Integrity to handle sensitive information in a confidential manner
  • Strong communication (verbal, written and interpersonal) skills. Practices attentive and active listening and willingness to ask questions.

Preferred:

  • Spanish fluency (verbal)
  • Medical Assistant Certification
  • Basic life support (CPR) certification (can be completed post-hire)
  • Experience providing birth control, abortion, and STI counseling/education
  • Experience with trauma-informed and harm-reduction models of care
  • Experience using an electronic health record system
