Job summary: The Project Coordinator provides high level administrative support to the sales and project management team by entering, tracking, and communicating about multiple sales/project related tasks. Employees in this position serve as a liaison between the Team, Clients and Brands and play a key role in supporting the team.
Essential Duties and Responsibilities:
- Coordinate and manage sales/project activities across cross-functional team to achieve common goals.
- Processes quote requests using prescribed system tools (OT) and recording project details in the company's CRM (Daylight).
- Expediting reserves, backorders, and lead-times with vendor teams.
- Managing existing reserves and backorders using vendor tools such as weekly open order reports.
- Notifying project manager when vendor or client negotiations are needed to secure a project.
- Ensuring all submitted quotes are accurate and suitable for clients/projects end-use requirements.
- Manage e-mail and CRM (Daylite) to ensure sales functions are completed.
- Use scheduling tools, and risk management practices to support program execution with little to no supervision.
- Notify team of any changes or delays to potential projects.
- Monitor, screen, respond to and distribute incoming communications via e-mail and phone in a timely manner
- Understands and interprets technical requirements pertaining to product specification and project end-use requirements.
- Follows-through with quote until quote converts to a firm order.
- Identifying and notifying the team of possible project opportunities based on incoming quote requests.
- Collaborates with the Sales team to ensure they have all pertinent information as it relates to the client, potential project, and orders.
- Attends all mandatory meetings, training, and events.
- Interacts with customers via telephone, email, text, or in person within the LAB to provide support and information on products or services.
- Stays informed and updates job knowledge by studying new product descriptions and participating in training and educational opportunities.
- Assists with specific client projects ensuring that the sampling team has information needed to shop, check stock and initiate reserves when needed.
- Performs other duties as assigned.

Ability to read and comprehend simple instructions, emails and memos. Ability to effectively communicate one-on-one with customers, co-workers or others. Ability to read and interpret documents such as shop drawings, plans, elevations, care, use maintenance instructions and procedures manuals.
Working Conditions
Employees in this position frequently and regularly perform their job duties in an indoor office setting. Employees will infrequently work in varying outdoor climates environments and inclement weather.

Math Skills
Ability to add, subtract, multiply, divide, using whole numbers, common fractions and decimals. Ability to compute rate and percent.
Computer Skills
- Proficient in Microsoft Word and Excel
- Proficient multiple online systems, such as Google Docs, Canva, FedEx/UPS, Calendy, MailChimp.
- Online client and employee scheduling and internal database systems (such as order-track and daylite)
- Skilled and experienced with Apple/Mac devices.
Experience & Education Requirements
- Relevant Bachelor’s degree, or equivalent combination of education and experience
- Two years of directly related experience
Physical Requirements
Employees in this job are regularly required to sit for extended periods of time. Employees in this position are required to stand, walk, bend, stoop, grasp, stand on a step stool, reach with hands or arms, lift at least 10 pounds on a regular basis in narrow spaces, occasionally lift up to 20-50 lbs pounds, talk and hear. Drive a personal vehicle to perform assigned duties.
