Overview:
We are seeking a reliable and organized Office Aide to join our elementary school administrative team. The Office Aide will provide essential support in managing daily administrative tasks, ensuring smooth operations within the school office, and facilitating effective communication between staff, students, and parents.
Responsibilities:
Administrative Assistance:
- Manage incoming calls, emails, and correspondence, directing inquiries as necessary.
- Assist administrative staff with filing, data entry, and document organization.
- Prepare and distribute school correspondence, including newsletters and announcements.
- Help in the organization and execution of school events and activities.
- Serve as the first point of contact for visitors, students, and parents, providing excellent customer service.
- Prepare and distribute school communications, newsletters, and reports.
- Send and receive records and process within 24 hours of receiving requests.
- Audit student files bi-monthly for missing documents.
- Assist families with online registration and enrollment via student information system.
Front Desk Support:
- Greet visitors, parents, and students warmly and direct them appropriately.
- Answer incoming calls, take messages, and provide information to callers.
- Maintain a tidy and welcoming front desk area.
- Implement proper procedures for managing outsiders entering the building, including running background checks when necessary, ensuring safety protocols are followed, and managing sign-in procedures and visitor badges.
Student Support:
- Assist with student sign-in and sign-out procedures.
- Monitor and maintain attendance records accurately.
- Provide basic first aid assistance and comfort to students when needed.
- Track transportation changes and notify teachers.
Parent and Staff Communication:
- Serve as a liaison between parents, staff, and administration, relaying messages and inquiries promptly and accurately.
- Schedule appointments and meetings for school staff as requested.
Supply Management:
- Monitor office and classroom supply inventory levels and communicate needs to the appropriate personnel.
- Assist with ordering and organizing supplies as needed.
Qualifications:
- High school diploma or equivalent.
- Strong communication skills, both verbal and written.
- Excellent organizational abilities and attention to detail.
- Proficiency in basic computer applications such as Google Suite.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Friendly and professional demeanor with a commitment to providing exceptional service to students, parents, and staff.
- Ability to handle sensitive information with confidentiality.
