Mammoth AZ is a multi-division contractor specializing in restoration, construction, and pest control. We’re seeking a high-level, tech-savvy Administrative Assistant to keep our office running smoothly and serve as a vital support system for our field staff. This role goes beyond typical admin duties—our field teams will lean on you for help with mobile apps, devices, and job scheduling tools. Key Responsibilities:
- Answer phones, greet visitors, and direct inquiries professionally
- Manage calendars, schedule appointments, and coordinate meetings
- Perform data entry and document organization with a strong attention to detail
- Help troubleshoot phones, apps (CRM, time tracking, photo upload, etc.), and general tech issues for field staff
- Support executives and project managers with clerical tasks and communication
- Prepare job folders, contracts, and permit documentation as needed
- Maintain office systems, records, and filing
- Assist with QuickBooks entries or invoice tracking (a plus, not required)
Preferred Qualifications:
- Previous experience in an administrative or office support role (construction or service trades a plus)
- Tech-savvy and comfortable with mobile devices, cloud-based apps, and light troubleshooting
- Strong multitasking and organizational skills
- Excellent communication (written and verbal)
- Proficiency in Microsoft Office (especially Excel and Word)
- Familiarity with QuickBooks is a plus
