What are the responsibilities and job description for the Assistant Controller position at ManifestU?
Company Description
Founded in 2024 by Cody Barton, Scale With Pros is an operational consulting firm and investment group dedicated to helping small to medium‑sized businesses scale into 7‑ and 8‑figure enterprises. Unlike traditional consultants, we actively acquire and scale home service companies within our internal portfolio—giving us firsthand experience to guide others with systems that work in real businesses. Our mission is to empower small business owners (the backbone of our economy) by delivering scalable, results-driven solutions that help them build high-profit, self-managing companies.
Job Summary
As the Assistant Controller, you’ll lead and manage a small but mighty finance team, ensuring accurate, timely, and scalable financial operations across multiple businesses in our portfolio. You’ll own month-end close, payroll, AP/AR, financial reporting, and cash flow management—all while building out and enforcing smart, standardized processes.
This role is perfect for someone who thrives in a fast-paced, multi-entity environment and finds joy in transforming chaos into clarity. You’ll be expected to lead from the front, working both strategically and hands-on. You will collaborate closely with our fractional CFO, who will guide high-level financial strategy, while you handle the systems, people, and process execution that make those strategies real.
Key Responsibilities
- Lead, manage, and hold the financial team accountable for performance, accuracy, and meeting deadlines across all portfolio companies.
- Coach and support the team as the subject matter expert on financial processes and systems.
- Build and enforce SOPs, scorecards, and workflows for key financial functions (bookkeeping, AP/AR, payroll, insurance, etc.).
- Develop and standardize clear, repeatable processes across all companies, including onboarding new acquisitions into our financial systems.
- Drive timely and accurate month-end closes, payroll execution, and tax payments in partnership with internal leaders.
- Implement strategies set by the fractional CFO across all companies.
- Monitor and report on cash flow, budgets, and financial KPIs to support data-driven decision-making.
- Provide ongoing financial insights in weekly/monthly meetings to help improve revenue, control COGS, and reduce SG&A.
- Collect and process weekly mail from PO Boxes, scanning and uploading invoices for AP.
- Prioritize and enter time-sensitive vendor documents with accuracy.
- Lead the transition to fully paperless, auto-paid billing systems and oversee the elimination of the physical PO Box.
Who You Are

- You are Hungry – You take ownership of outcomes. You don’t wait to be told what to do—you look for ways to fix problems, improve processes, and raise the bar.
- You are People Smart – You know how to communicate with your team and leaders, manage across personalities, and deliver feedback in a productive way.
- You love process—documenting it, improving it, and making sure it’s followed.
- You’re a hands-on leader who isn’t afraid to jump in, but you also know how to delegate, develop people, and hold them accountable.
- You enjoy working across multiple businesses and solving challenges that come with complexity and growth.
- You thrive in structured chaos—taking messy operations and building streamlined, consistent financial systems.
Experience
- Degree in Accounting (GAAP focus), Finance, or a related field.
