Job Description
Position: Assistant Business Administrator
Reports to: Business Administrator
Primary Function: Assisting with the administration and supervision of the business office functions including, but not limited to, budget preparation, district accounting, local, state and federal reporting, purchasing and payroll.
Minimum Qualifications: Extensive experience in PA public school district. Accounting experience preferred. B.S. degree in Accounting or a related field is required. A CPA certification is preferred. Possess the ability to perform the essential functions of the position with or without reasonable accommodations.
Examples of Essential Duties and Responsibilities:
- Prepares budget(s) in accordance with required local, state and federal accounting requirements and practices;
- Coordinates the external audit, preparation of annual financial statements and audit report of the District. Completes all other external reports and oversight as needed.
- Preparing all required district, local, state and federal reports;
- Assists in budget development and ensures all budgetary controls and records are properly maintained including: electronic budget, accounting, payroll, purchasing and operational records, reports, files and data;
- Develop budget projections for current year revenues and expenditures;
- Supervises the collection, recording and reconciliations of all tax revenues.
- Oversees the investment of district funds and cash flow in accordance the school code;
- Provide administrative supervision of payroll/AR/AP and Accounting Supervisors
- Monitor payroll on bi-weekly basis and review for accuracy
- Assist in developing and maintaining proper salary schedules for all employees;
- Prepare and file payroll forms to various local, state and federal governmental agencies;
- Meet all Governmental requirements on a timely basis;
- Maintain accuracy of all general ledger and payroll records and reports;
- Assure proper accounting for all district auxiliary funds;
- Assist with preparation of State Financial Reports;
- Prepare monthly financial report for Board;
- Performs district accounting functions including account transfers, year-end accruals, cash management, taxes, investments, student accounts, and payroll;
- Administers purchasing, bidding, quoting and asset management functions in accordance with local, state and federal requirements;
- Supervises and evaluates assigned staff;
- Performs the duties and responsibilities of the Business Administrator in the absence of Business Administrator;
- Regular attendance including day, evening, and other required meetings;
- Serves as treasurer to the board and;
- Performs other essential functions as assigned.
