Purpose of the position
The Maryland Food Bank’s Manager, Facilities & Safety plays a key role in supporting the Director, Facilities and Safety by directly managing the day-to-day maintenance and safety needs of the physical facilities and grounds of all Maryland Food Bank (MFB) locations. This role ensures efficient operations and a healthy and safe environment for staff, volunteers, and visitors by working in partnership with MFB staff and external vendors.
Essential Duties and Responsibilities
Facilities Management:
- Ensures maintenance of all MFB facilities in “like new” condition in cleanliness and appearance.
- Manage maintenance, repairs, and renovations of buildings, grounds, and equipment including HVAC, refrigeration, security, utilities, kitchen and warehouse equipment, landscaping, waste management, and pest control for all MFB locations.
- In partnership with Director, Facilities and Safety develop an automated technology system to record requests for assistance, and resolution.
- Assist with planning, setup, and breakdown for MFB and community events.
- Collaborate with appropriate MFB staff to solicit input and ensure alignment around facilities repairs and upgrades.
Safety and Compliance:
- Deliver a current and comprehensive safety program, in partnership with the Director, Facilities and Safety and other key stakeholders, including documentation, training, and monitoring.
- Maintain organizational readiness for food safety, safety, and other inspections.
- Conduct regular safety inspections and implement corrective measures at all MFB locations.
- Compile and publish relevant safety statistics.
- Facilitate monthly Safety Committee meetings.
- Support emergency preparedness efforts in partnership with key stakeholders.
Vendor and Contract Management:
- Manage all vendor relationships, ensuring contract terms are favorable, work is performed to expectations, and invoices are paid in a timely manner.
- Manage the sequence of vendor visits to ensure dependencies are anticipated.
- While vendors are on-site, liaise with technicians to assure issues are addressed/resolved.
- Manage follow up as needed.
- Document issues and resolutions.
Financial administration:
- Provide vendor related administrative support and training to Operations and Programs to ensure that invoices are properly coded and submitted.
- Collaborate with Finance to identify areas for continuous improvement in contract management and payment automation.
Supervisory Responsibility:
The Manager, Facilities & Safety is responsible for leading three full-time Facilities Specialists, as well as onsite vendors and contractors.
Work Environment
The employee will carry out the job duties in a warehouse environment with great fluctuation in temperatures and noise. Will be required to work in unheated or non-air-conditioned areas and under inclement weather conditions. The employee will travel regularly within the Maryland to each MFB locations.
