Job Title: Graduate Program Coordinator (#1: Operations Focus) Department: Graduate Studies Division: Academic Affairs FLSA Status: Non-exempt Reports to: Director of Academic Operations, Graduate Studies Union: SEIU Local 500 Grade: 3 Range: The hourly range is $17.58 - $21.49. Where a candidate falls within that range is based on years of experience and internal equity. Position summary: Coordinate the implementation of routines associated with facilities and operations. Provide support to the graduate program directors of assigned graduate programs including budget planning, execution of contracts and payment paperwork, accounting processes. Provide support to the Office of Graduate Studies for specific projects, events, and activities, as assigned. Major role functions: Support the DAO in managing facilities and operational needs. Provide graduate program support to directors of assigned graduate programs, including preparation of budget reports, initiation of business processes related to independent contractors, suppliers, and vendors, and provision of Workday technical assistance and troubleshooting. Support day-to-day administrative needs of Graduate Studies and its programs and initiatives. Position responsibilities: Facilities & Operational Support Support the DAO in communicating needs to campus partners (such as EHS, Building Services, Campus Safety, Campus Technology) regarding maintenance, construction, and upkeep of graduate facilities and program spaces in the buildings in which they are located. Serve as first point of contact for emergent facilities-related issues in Lazarus Center; troubleshoot and follow up on maintenance issues; place maintenance requests via eMaint system. Coordinate the communication and planning of studio move-in when semesters commence, including coordinating with Undergraduate Studies. Coordinate the communication and planning of studio move-out for graduating students at the conclusion of semesters, including coordinating with Undergraduate Studies. Coordinate request processes for, and facilitate assignment of, additional studios. Coordinate the annual on-site fingerprinting event for field-based graduate programs during Fall Orientation. Coordinate resource and space needs related to Summer and Winter annual on-campus sessions for low-residency graduate programs. Contribute operational and facilities updates and guidelines to Graduate Studies webpages, newsletters, Canvas sites, and other information dissemination platforms as needed. Support the DAO in managing the return and distribution of keys to Graduate Studies offices, studios, and program spaces. Procure supplies and resources for general office use In compliance with communication protocols and procedures established by the Manager of Projects & Information, maintain calendars, meeting agendas, meeting minutes, and shared document archives. Manage the vice provost calendar, P-card, signature, and related administrative needs. Oversee the day-to-day physical operations of the Graduate Studies main office, including open and closing, and maintaining the functionality of Graduate Studies copiers and other common area technology assets. Graduate Program Support (for assigned degree programs) Initiate, prepare, and submit contract and payment paperwork and associated business processes in Workday for assigned graduate programs, including facilitation of paperwork related to independent contractors, suppliers, and vendors. Monitor and report on operating and restricted budgets. Consult regularly with DAO to review in-progress contracts. Complete regular budget reconciliations with DAO. Provide general Workday technical assistance, instruction, and troubleshooting for directors of assigned programs. Support directors with preparation of expense reports and P-Card verifications. Schedule payments and reimbursements to students in assigned graduate programs when applicable. Support research and ordering of supplies, materials, and technology for graduate degree programs, completing requisitions in Workday when necessary. When necessary, support the DAO in the distribution and return of MICA-issued faculty laptops for new and departing faculty. Attend annual budget planning meetings. Attend trainings and innovation meetings with cross-functional partners as scheduled or relevant. Collaborate with directors to issue contracts and payments to independent contractors, suppliers, and vendors. Facilitate communication of urgent issues. Submit degree program maintenance requests via eMaint system. Coordinate campus space reservations for degree program events. Graduate Studies Support Contribute to day-to-day physical office operations, including rotations at the front desk supporting students and faculty with information and resources. With Graduate Studies office staff, welcome students and faculty to campus each academic year by contributing to meeting planning, calendar preparation, revisions of cyclical documents for distribution to faculty, students and staff. Support annual series of graduate events and projects including but not limited to Orientation, MICA GRAD SHOW, Commencement. Attend trainings and innovation meetings with cross-functional partners as scheduled or relevant. Provide support to the Office of Graduate Studies for specific projects, events, and activities, as assigned.
