What are the responsibilities and job description for the Financial Secretary position at Mason First Presbyterian Church?
Purpose: The Financial Secretary provides bookkeeping, reporting, and other financial services that support the mission and ministries of Mason First Presbyterian Church.
Accountability: The Financial Secretary is accountable to the Session through the Pastor as Head of Staff.
Responsibilities: The Financial Secretary’s responsibilities include a range of financial tasks listed below. Each area is detailed in the document, Mason First Presbyterian Church: Responsibilities of the Financial Secretary.
· Contributions: count and record all income with a trained volunteer weekly, make deposits, record all donor contributions in Shepherd’s Staff, record all income in QuickBooks, generate quarterly contribution statements for church households, receive and record annual pledges from church households, maintain strict confidentiality about individual household giving.
· Bills and Payroll: pay bills, process payroll and track payroll data as properly approved, record all day-to-day financial transactions in QuickBooks, manage accounts payable and accounts receivable.
· Taxes and Other Obligations: calculate and pay payroll taxes, prepare and file tax forms, submit other required financial documentation annually and as needed.
· Reporting: prepare monthly reports for the Finance Committee reconciled with bank accounts, generate annual financial reports for the congregation, generate other financial reports as requested by committees or staff, provide information as requested for the annual financial review, attend monthly meetings of the Finance Committee.
· Other Duties: reconcile all monthly and quarterly statements, verify accuracy of all financial data, assist the Finance Committee, Session and others in preparing the annual budget and monitoring financial activities for consistency with the adopted budget and other financial procedures, keep track of all special offerings, ensure that all “pass through” money reaches its intended destination in a timely fashion, and perform other similar duties as directed.
Skills and Qualifications: proven bookkeeping experience, solid understanding of basic bookkeeping and accounting principles, strong ability to calculate and manage accounting data and financial records, excellent data entry skills, proficiency in Microsoft Office and QuickBooks, strong communication skills verbally and in writing, high degree of accuracy and attention to detail.
Relationships: The Financial Secretary interacts as needed with all church members and any other donors. The Financial Secretary works as part of a collegial team with other members of Staff, in a supportive relationship with all committee chairs, and in a strong supportive relationship with the Finance Committee of Session.
Evaluation: Performance reviews are conducted annually by the Pastor as Head of Staff and the Personnel Committee, with input from the Finance Committee. The Personnel Committee shall review the hours and compensation of the Financial Secretary position.
