As an Administrative Assistant, you will carry out our Mission of Love by providing the best possible administrative service, through continuous training, to support the maintenance department in providing a clean, healthy, and safe environment.
Our Administrative Assistant is responsible for the following:
- Maintains department files in an accurate and efficient manner.
- Provides administrative support services to maintain department files in an accurate and efficient manner.
- Prepares and distributes correspondence, compiles reports, updates policies and procedures, maintains budget information, creates forms, and completes other documentation as needed and directed.
- Answers telephone calls and relays messages in a professional and efficient manner.
- Issues, prepares, and processes material requests, purchase orders and invoices as needed in a timely and accurate manner. Maintains records of purchases. Orders, maintains, and monitors use of supplies. Coordinates with finance to ensure timely payment.
- Ensures labor and material distributions are completed in an accurate and timely manner.
- Ensures staff hours are reported promptly and accurately. Utilizes the Kronos payroll system to inspect entries and payroll records for approval.
- Attends meetings, maintains meeting notes, and prepares written reports as needed and directed.
- Maintains professional growth and development by attending educational, technical, and training programs, seminars, and courses. Maintains professional affiliations.
- Generates computerized maintenance management system (CMMS) generated work orders as required.
- Works on special projects and programs related to enhancing the quality of services.
What You Have:
- High School graduate or equivalent.
- Three years of related experience required.
- Business courses or background preferred.
- Current knowledge of office software such as Microsoft Word, Excel, or related software.
- Current knowledge in the operation of general office equipment.
- Ability to type at least 55 words per minute.
- Effective written and oral communication skills required.
- Effective organizational skills required.
