Phone skills, customer service, and an upbeat personality are required. Tech savvy, some accounting, experience with Quick Books is a plus, knowledge of Vagary and Scheduling ability. Ability to manage time wisely, and manage many aspects of the business a must.
This position requires an interest in natural healing and alternative therapies. Knowledge and experience with massage therapy, or preventative care offices is most beneficial for this position. Pay is determined by knowledge, skill set, and being able to communicate with people. We are a very healthful and happy atmosphere with other pleasing benefits.
Duties and responsibilities
- Manage client appointments:
- Schedule, confirm, and reschedule appointments via phone, email, and in-person.
- Monitor appointment bookings and cancellations, optimizing the schedule to minimize downtime.
- Address client inquiries and resolve scheduling conflicts promptly and professionally.
- Send appointment reminders and follow-up with clients to ensure timely visits.
- Coordinate with massage therapists:
- Communicate schedule changes and updates to therapists.
- Gather therapist preferences and adjust schedules as needed.
- Assist with therapist intake and record-keeping.
- Maintain accurate records:
- Input and update client information, including contact details, preferences, and appointment history.
- Uphold client confidentiality and adhere to HIPAA regulations.
- Provide exceptional customer service:
- Greet clients warmly and create a welcoming atmosphere.
- Answer questions about services, pricing, and promotions.
- Handle payments and process gift certificate sales.
- Perform administrative tasks:
- Assist with office supplies management and equipment maintenance.
- Collaborate with billing and administrative staff to ensure accurate record-keeping and billing.
