Job Title
Front Office Coordinator
Job Purpose:
Playing a key role for our organization by interacting with patients in a positive, professional, and friendly manner while managing administrative tasks for the medical team.
Duties and Responsibilities:
- Quickly answering or properly referring questions and issues
- Optimizing provider schedules and patient satisfaction with efficient scheduling
- Obtains patient identification and insurance information
- Timely notification to medical assistant of patient arrivals
- Ensuring availability of treatment information by retrieving and updating patient records
- Securely gather patient information and enter it into digital EHR for ease of reference, sending hard copies of patient info to other Providers upon request
- Register check in, and/or check out patients in a timely and friendly manner in accordance with established protocols
- Collect co-pays and payments on account
- Verify patient insurance prior to each days schedule; if insurance has been termed, contact patient to bring current insurance card with them to the appointment
- Maintains patient accounts by verifying insurance information and coordinating with relevant organizations for referral requirements
- Keeps doctor, nurses, medical assistants, and any other related staff abreast of scheduling, patient details, and potential service delay
- Manage daily mail to the clinic
- Outstanding professional phone management skills: manages a multiline telephone system efficiently and politely, minimizing hold time
- Direct phone calls to other people in an office
- Helps maintain office inventory; request office supplies with adequate time to received and schedule service for office equipment repairs
- Secures patient information and maintains patient confidence by completing and safeguarding medical records
- Expedites patient processing by having them fill out forms either digitally or paper
- Maintain patient confidentiality, mandatory familiarity with HIPAA
- Maintains safe, secure, and healthy work environment by establishing and following standards and procedures as well as legal requirements
- Act as liaison with outside lab services for patient information that is needed
- Manage incoming messages from patients and/or outside Providers
- Ensure waiting room and office area is well maintained, neat and clean remaining free of food visible to the patient’s view
- Complete other clerical duties as assigned
Skills and/or qualifications:
- Communication skills to converse clearly over the telephone and in person
- Organization and time management to manage a variety of tasks effectively
- Attention to detail to schedule patients correctly and communicate scheduling difficulties with providers
- Technological skills, such as using word processing and spreadsheet programs to track data
- Interpersonal skills to interact positively with patients who may be upset or stressed
- Understanding of basic health terminology
- Demonstrated ability to interact with healthcare professionals, patients, and insurance companies alike
- Excellent customer service skills
