Medspa Front Desk & Admin Coordinator (with Social Media Support)

Position Overview
The Front Desk & Admin Coordinator is the face and backbone of our medspa. This role combines patient experience, administrative management, and basic social media support. You’ll manage the flow of the clinic, coordinate schedules, handle payments, and ensure the clinic operates smoothly day-to-day all while delivering excellent service to every guest.
Key ResponsibilitiesFront Desk Duties
· - Greet patients warmly and ensure a luxury experience from start to finish
· - Manage check-in/check-out process, including intake forms, consents, and payment collection
· - Answer phones and respond to emails in a professional, timely manner
· - Confirm appointments, send reminders, and manage cancellations or reschedules
· - Monitor and maintain cleanliness and appearance of front desk and lobby area
· - Maintain product display organization and cleanliness
Administrative Duties
· - Maintain and update the daily provider schedule accurately
· - Track inventory for skincare products, office supplies, and treatment items alert manager when stock is low
· - Process payments, prepare daily cash/card reports, and balance transactions
· - Assist with documentation, filing, and patient record updates in EMR system
· - Organize monthly promotions and print/update any materials as directed
· - Onboard new patients into the system with accuracy
Social Media Support (Basic)
· - Capture in-office content (photos/videos) for social media (e.g., behind-the-scenes, treatment setups)
· - Post content created or approved by the marketing team to Instagram/Facebook/tiktok
- email and newsletter marketing and development.
· - Occasionally engage with followers (liking/responding to comments or DMs if trained)
· - Coordinate with team on content themes, special events, or seasonal promotions
· - Upload before-and-after photos with patient consent (HIPAA-compliant)
Qualifications & Skills (EXPERIENCE PERSONS ONLY )
· 1 years of experience in a receptionist, coordinator, or client service role (medspa or medical office strongly preferred)
· - Strong communication and customer service skills
· - Well-groomed, professional appearance
· - Comfortable using iPhones, basic apps, EMR or POS systems (we will train if needed)
· - Highly organized and detail-oriented
· - Ability to multitask in a fast-paced environment
· - Basic knowledge of or interest in aesthetics and skincare
· - Comfortable with social media platforms, especially Instagram
