Job Summary:
The part-time assistant for a transactional law firm provides administrative and clerical support to attorneys and legal professionals in a dynamic and fast-paced work environment. The role involves organizing and managing documents, drafting correspondence, scheduling meetings, conducting legal research, and ensuring efficient office operations. The assistant plays a crucial role in facilitating the smooth flow of transactions within the firm.
Duties and Responsibilities:
1. Document Management: Assist with organizing, scanning, filing, and maintaining electronic files related to transactions, contracts, agreements, and legal documents.’
2. Correspondence: Prepare and draft routine letters, emails, memos, reports, and other documentation accurately and professionally.
3. Scheduling: Manage attorneys' schedules/calendar by coordinating appointments, meetings, conference calls with clients or other parties involved in transactions.
4. Research Assistance: Conduct legal research on various topics using online resources or other research tools under the direction of an attorney or paralegal.
5. Database Management: Maintain accurate client databases by updating client information regularly for accurate record-keeping purposes.
6. Billing Support: Collaborate with billing personnel to assist in generating client invoices accurately reflecting billable hours and expenses incurred during transactions.
7. Client Communication: Interface professionally with clients while assisting with inquiries or providing updates regarding ongoing transactions under the guidance of legal professionals.
8. Meeting Coordination: Assist in organizing internal team meetings as well as liaising with external parties to schedule negotiation sessions or deal closings.
9. Travel Arrangements: Make necessary travel arrangements for attorneys attending out-of-town client meetings or conferences related to transactional matters.
10. Office Support: Perform general administrative tasks such as managing office supplies inventory, answering calls and directing them appropriately within the firm.
Requirements:
- High school diploma; associate's or bachelor's degree preferred.
- Prior experience (1-3 years) working in a law firm environment, preferably in a transactional practice area.
- Excellent organizational and time management skills to handle multiple tasks simultaneously and meet deadlines.
- Strong attention to detail and ability to maintain confidentiality with sensitive information.
- Proficiency in using legal software, Microsoft Office suite (Word, Excel, PowerPoint), and online research tools.
- Excellent communication skills (both written and verbal) with the ability to interact professionally with clients, attorneys, and other staff members.
- Basic knowledge of transactional law principles and terminology is preferred.
- Fluency or some level of ability in either Spanish or Portuguese preferred
Working Conditions:
The assistant for a transactional law firm primarily works in an office setting. The role may require occasional overtime or flexibility during peak periods of transactional activity. Some remote work options or a hybrid model combining on-site and remote work arrangements is preferred scenario.
Job Type: Part-time
Pay: $14.00 - $16.00 per hour
