Description
The Team Lead is responsible for overseeing daily operations, supporting team members, and ensuring efficient production activities in the Dallas office. This position will drive a company vehicle to pick up mail from USPS locations (e.g., Dallas, Southlake), process documents for digital retrieval and archiving, and serve as a subject matter expert for the team. This role ensures smooth day-to-day operations and provides the team with the tools and guidance needed for success.
Work Schedule: Mondy- Friday; 6am - 2pm
Must be available to drive a company vehicle daily

Responsibilities
- Oversee and coordinate daily operations to ensure efficiency and accuracy
- Pick up, check-in, track, and scan incoming documents, including confidential materials and checks
- Assign tasks, manage workflow, and oversee courier activities
- Address team and client inquiries regarding documents, processes, and projects
- Generate and review reports (e.g., attendance, quality, productivity, and daily production)
- Monitor team productivity and quality, ensuring goals are met
- Provide frontline support for internal and external client requests
- Attend meetings and training sessions as required
- Handle escalations professionally, resolving issues effectively
- Ensure accurate and up-to-date documentation (SOPs), logs, and reports
- Confirm attendance, address staffing gaps, and conduct shift handovers
- Prepare and distribute weekly performance summaries to management
- Foster a positive, supportive work environment to keep the team engaged and motivated
Requirements
Experience & Qualifications
- 3 years of experience in a team lead or supervisory role, preferably in BPO, financial services or healthcare (other industries considered)
- 2 years of shipping or mailroom processes used at the US Postal Services (USPS), UPS, FedEx, Pitney Bowes or similar organizations.
- Experience with digital mailroom and imaging technology (Kofax, Captiva, PCS, preferred)
- Strong leadership skills with a proven track record of managing teams and driving results
- Ability to handle multiple priorities and maintain workflow efficiency
- High level of work ethic, discretion, and confidentiality

Physical Requirements
- Must be able to lift and carry up to 50-pound boxes
