Position Summary

Position Summary

The Global Safety Coordinator serves as a member of the Office for Global Health, Safety and Security and support operational management of international health and safety matters. In collaboration with the Director of Global Health, Safety and Security and the other Coordinator for Global Health, Safety, and Security, the Global Safety Coordinator will oversee office management, analysis, travel preparedness and plan response strategies to promote and protect the well-being of Michigan State University (MSU) travelers. This position calls for a collaborative team-player and systems-thinker with excellent presentation and writing skills.

Hybrid work statement: The department is currently operating under a hybrid modality structure, with staff working three days in person and two days remotely. This structure is subject to change at any time.

Essential Duties & Responsibilities

Global Health and Safety Support (25%)

  • Overall cooperative oversight and focus on health, safety, and security of faculty and student travel.
  • Provide rotating 24/7 duty officer coverage for MSU’s international emergency response system, including the identification of and response to critical incidents involving global travelers, parents, and partners.
  • Develop plans, guidelines for MSU-sponsored international, web pages, etc. to provide clear safety and emergency standards and protocols
  • Coverage of main telephone number and general email address for Global Safety.
  • Monitor international incidents, worldwide events and trends that may affect MSU travelers abroad, disseminating alerts and announcements according to standardized protocols.

Travel Review (25%)

  • Plan and review proposed high-risk travel with particular emphasis on student, faculty, staff, and guest travel.
  • Administrative and analytical support to the Risk and Security Assessment Committee (RSAC) and Faculty and Staff Travel Review (FASTR) Committee including meeting scheduling, minute taking, and preparing country-specific assessments
  • Manage day-to-day Travel Management online systems, insurance issues, and International SOS Tracker Systems operations

Training, Presenting and Communications (25%)

  • Share training responsibilities for program organizers and leaders in critical incident management
  • Share responsibility for conducting occasional in-person pre-departure orientation for students and faculty.
  • Deliver in-person presentations and online webinars to campus partners on travel policies and resources, emerging risks, and new initiatives.
  • Maintain practical and effective international health and safety standards, expectations, policies, and guidelines for MSU student programs, activities, and independent travelers.
  • Support department communication efforts through website design and updates, email listserv/newsletter, and timely university-wide communications.
  • Partner with MSU units and administrators on international health and safety issues specifically with student and faculty travel, the Office for Education Abroad, Japan Center for Michigan Universities (JCMU), University Physician, MSU Travel Clinic, Resource Center for Persons with Disabilities (RCPD), Student Affairs and Services, Student Support and Accountability, Office of Institutional Equity, and General Counsel’s Office.
  • Draft professional detailed briefings: track global risk trends affecting faculty/staff and student travel and create detailed briefings regularly.
  • Present to Directors in various offices on pertinent global safety issues as assigned.

Administration (25%)

  • Maintain, analyze and report to Director on incident reports.
  • Create and maintain travel registration and similar analytical reports.
  • Contribute to the development of the international health, safety and risk management field through professional development, national committee and board service, professional networks, presentations, and publications
  • Occasional domestic and international travel as required for conferences and training, site assessments, etc.
  • Support Clery Reporting and Compliance efforts

Minimum Requirements

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in international relations, area studies, communication, business, higher education administration, criminal justice, or related field; Three to five years of experience in a related field such as, but not limited to, study abroad, emergency coordination, international travel and security, campus crisis management and /or risk management; or an equivalent combination of education and experience.

  • Three to five years of experience in a related field such as, but not limited to, study abroad, emergency coordination, international travel and security, campus crisis management and /or risk management; or an equivalent combination of education and experience
  • Overall team focused approach and willingness to be flexible and take on a wide variety of tasks that come with the office’s mandate.
  • Knowledge and interpersonal skills to work effectively with faculty and staff, students, parents, police and government agencies
  • International experience, such as Peace Corps, nongovernmental, business or academic
  • Experience traveling, living or working abroad
  • Ability to remain calm under pressure and in crisis situations
  • Proficiency with computer software, data management
  • Strong presentation and writing skills
  • Team-player with expertise in working on online systems and databases with knowledge and skills in data management with fluency in working with students, parents, and faculty.
  • Working proficiency in a foreign language
  • Strong public speaking and presentation skills
