What are the responsibilities and job description for the Quality Assurance Assistant position at Mid-Cumberland Community Action Agency?
Coordinating the processing, tracking, and submission process for WAP and CSBG applicant files. The Quality Assurance Specialist is “the face” of MCCAA for our Weatherization customers, vendors and contractors, with the capacity to exponentially impact the home environments of low income home owners.
SPECIFIC DUITES OF THE JOB:
1. Responsible for WAP Application Processing, which includes but is not limited to:
a. Processing all incoming applications within 90 days;
b. Creating and managing files for incoming applications, auditor files, bid files, post-audit packets, and finance packets;
c. Researching applicant to determine eligibility;
d. Ensuring all necessary documentation is present;
e. Collecting and inputting data in THO, WAP database, and multiple spreadsheets to track applications, eligibility, funding, completed jobs, etc.;
f. Corresponding with clients once application is received and determining priority level;
g. Managing contractor communication.
2. Responsible for LIHEAP Regular and Emergency payment requests to Finance department, which includes but is not limited to:
a. Emergency voucher collecting and coding, matching vouchers to applicant files, creating payment listing in THO, creating calculation total on voucher, submitting to Finance department, and filing copies;
b. Creating Regular applicant proof lists from THO and matching with applicant files, printing payment listing, submitting to Finance department, and filing copies;
c. Managing vendor refund by entering refund into THO, creating refund reports, submitting to Finance department, and filing copies;
d. Voiding LIHEAP payments as necessary;
e. Responding to vendor payment issues;
f. Managing approval correspondence with LIHEAP Regular applicants.
3. Promptly answer and return all WAP/LIHEAP inquiries via email, phone or in person.
4. Manage filing system for WAP.
5. Attend outreach activities promoting WAP/LIHEAP.
6. Manage all WAP/LIHEAP purchase orders.
7. Check Part A’s as needed in Corporate office.
8. Staffs outreach offices when needed.
9. Maintain professional and technical knowledge by attending conferences, workshops, and trainings.
10. Travels and attends meetings as directed.
11. Timely and accurate submission of pay related documentation including
a. Timesheets
b. Mileage sheets
c. Leave requests
12. Displays punctuality and timeliness throughout workday.
13. Perform other duties and projects as directed by the LIHEAP/WAP Director.
EDUCATION AND EXPERIENCE QUALIFICATIONS:
Education: High School Diploma or equivalent
Experience: Minimum of two (2) years’ experience in administrative related work environment

1. Proof of Degree to meet qualification of position

3. Two (2) Professional References and one (1) Personal Reference
4. Valid Tennessee Driver’s License
5. Proof of liability insurance on a personal vehicle in the amount of $25,000/$50,000/$25,000 prior to being hired.
6. Proof of US Citizenship, or eligibility to work in the US

2. Ability and willingness to travel on a regular basis to, but not limited to, local, state, and national destinations. Travel methods may include personal or agency vehicle, box truck, airplane, or train.
3. Ability to use own vehicle for work related activities when Agency vehicles are not available
4. Ability to work and drive during periods of inclement weather
5. Ability to effectively interact and work cooperatively as a team member with people from a variety of socio-economic and ethnic backgrounds.
6. Ability to work in a variety of environments including, but not limited to, offices, warehouses, storage units, box trucks and public places
7. Ability to work in a vehicle or environment that may not be air-conditioned
