Position Overview:We are seeking a motivated and highly organized Operations Assistant to join our team. This role is a critical administrative and operational support position, with opportunities for internal growth into an Operations Manager role. The ideal candidate is a self-starter with experience in administrative management, digital marketing, and multi-platform coordination. Key Responsibilities: Manage incoming & outbound client inquiries and appointments as a professional receptionist.Schedule and coordinate appointments for multiple contractors statewide.Perform data entry and maintain accurate records across platforms including HubSpot or Salesforce, CompanyCam, Pandadoc, DocuSign, and Microsoft Office applications (Excel, PowerPoint, Word).Support digital marketing efforts and assist with content management and campaign tracking.Integrate and manage multiple software platforms to streamline administrative workflows.Draft and implement professional scripts for client communications and follow-ups.Support management tasks, including supervising processes, team coordination, and project tracking.Maintain high levels of professionalism, multitasking efficiently in a remote work environment. Qualifications: Proven experience with Pandadoc or DocuSign, HubSpot or Salesforce.Proficient in Microsoft Office (Word, Excel, PowerPoint) and spreadsheets.Experience in digital marketing, content management, or similar fields.Strong receptionist skills and experience booking and managing appointments.Ability to multitask effectively and work remotely with minimal supervision.Self-motivated with demonstrated management experience.Strong data entry skills and knowledge of software/platform integration.Experience with CompanyCam or similar project/photo management platforms.Previous experience in the remodeling, medical equipment, or home sales industries (administrative focus).Exceptional organizational and scheduling skills for managing statewide operations.Excellent communication skills and professional demeanor.
