Job Title: Office/Design Assistant

Job Overview: We are a multi-million-dollar residential construction company seeking a highly organized and detail-oriented Assistant to join our small but dynamic team. In this role, you will perform essential office operations as well as assist the Interior Designer with materials management and design related tasks. This position is ideal for someone who thrives in a multitasking environment, has strong communication skills, and enjoys working independently and as part of a team. There is no fixed description for this position. It is ever changing, and we need someone who can adapt to these changes.
Key Responsibilities:
Office/Design Tasks:
- Perform day-to-day office operations, including answering phone calls, emails, mail and handling general inquiries.
- Organize and maintain company records, files, and documents, both digital and physical.
- Assist with scheduling appointments, meetings, vendors and coordinating office events.
- Assist Interior Designer with selections, sending costs for approval, maintaining detailed records of all design related tasks.
- Order and maintain office supplies and equipment, and ensure the office runs smoothly.
- Communicate with vendors, clients, and subcontractors as needed.
- Provide varied support for all team members, including but not limited to materials management, proposal and job sheet management, receiving and inspecting materials, job site visits, etc.
· Assist with management of the permit and inspection process for construction projects. This includes preparing and submitting permit applications, tracking approvals, coordinating required inspections
Skills & Qualifications:
- Fluent in English and Spanish would be an added bonus
- Microsoft Office (Excel, Word, etc.) with emphasis in excel.
- Strong organizational skills and the ability to manage multiple tasks simultaneously.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Education & Experience:
- High school diploma or equivalent required
- Minimum of 2 years of experience in office administration.
Job Type: Full-time
Pay: $15.00 - $25.00 per hour
Expected hours: 40 per week
