SUMMARY
A Dispatcher is responsible for the coordination of the utilization of drivers, third party trucks and containers to create capacity, maximize productivity and ensure prompt, courteous and efficient service to all customers.
KNOWLEDGE, EXPERIENCE AND SKILLS REQUIRED TO CARRY OUT THE JOB:
- High School Diploma or GED.
- Bilingual preferred. (English Primary/Spanish)
- Excellent communication skills and ability to remain calm and composed.
- Ability to interact with drivers and communicate instructions verbally over the phone.
- Organized, attention to detail, self-starter, and ability to multi-task with high volume.
- Experience in a customer-facing position.
- Two years directly related experience working as a dispatcher preferably in the oil and gas industry.
- Computer skills with a tablet and Microsoft suite.
- Proficient typing skills is a plus.
MAIN RESPONSIBILITIES OF POSITION:
- Ensure maximum productivity by achieving or exceeding Company-established goals by successfully routing vehicles.
- Able to adapt to scenarios in which trucking needs to be redirected to another destination.
- Assign loads to drivers based on designated routes and driver location.
- Prepare, update and dispense the daily route schedule.
- Gather and maintain route sheet documentation for pick-ups (scheduled, missed, extra pickups, logbooks), route completions and driver locations.
- Ensure route completion via the driver check-in process.
- Reviews dispatch system and driver assignments to ensure all loads are dispatched and that detailed information on assigned loads is relayed and completely understood.
- Courteously interact with customers, as required. Receive customer calls, taking orders in a friendly and focused manner.
- Maintain communication of any delays with the customer and ensure to relay such delays to logistics supervisor.
- Report driver performance issues or concerns to appropriate management for resolution.
- Ensures all costs for services are rendered and or recovered.
- Follow all required safety policies and procedures.
- Perform other job-related duties as assigned.
COMPLEXITY OF DUTIES AND DECISIONS:
Duties involve the use of several procedures or processes that generally have predetermined standards. Judgment will be required to arrange job details in order to achieve pre-determined objectives. Requires ability to analyze and resolve problems. May suggest process improvements.
INITIATIVE
Uses initiative in carrying out recurring assignments. Asks for direction whenever events do not unfold as previously discussed or planned. Keeps supervisor/manager informed of problem matters. Ensures that proper notes are being taken with every call to avoid problems in the future.
INTERPERSONAL / COMMUNICATIONS
Communicates with immediate associates and immediate supervisor/manager for instructions, training and guidance. Some contact with equipment suppliers will be required to obtain operations and basic maintenance instructions. Significant contact with trucking companies and drivers as well as some contact with customer community.
WORK ENVIRONMENT AND DEMANDS
- Spends significant amount of time in operations and office environment.
- May need to drive company vehicles in the course of job duties.
- Occasional travel for training and meetings.
- Exposed to possible operations hazards including dust, fumes, chemicals, machinery, hot or cold work temperatures, slippery surfaces, water and electrical hazards.
- Weekend duty and Shift work will be required.
- 24/7 Dispatch must be maintained.
While performing the duties of this job, the employee is regularly exposed to moving mechanical parts. The employee is frequently exposed to outside weather conditions and vibration. The noise level in work environment is usually moderate.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to stand, walk, stoop, climb and kneel; use hands to finger, handle, or feel and reach with hands and arms. The employee must occasionally lift and/or move up to 50 pounds. Employee will meet with supervisor and manager sporadically to do routine physical inventory of assets and minor service in containers. Specific vision abilities required by this job include close vision, distance vision, color vision, and peripheral vision.
