Real Estate Clerk
Register of Deeds
Hourly Pay Range: $17.80 - $22.82
Closing Date: February 2, 2023, or upon receipt of the first 50 application submissions
Job Summary: The Real Estate Clerk examines and records real estate documents, both paper and electronic, via ROD's land records software. Provides written and/or verbal explanations as to what is statutorily missing and/or incorrect to real estate professionals and public. Conducts general research and assists customers with location of recorded documents. Fields inquiries from customers regarding real estate recordings and maintains an accurate index of all recordings.

Real Estate Clerk

Job Responsibilities:
- Examine recordable instruments with varying requirements for statutory compliance per s59.43. Maintain chain of title when multiple documents are submitted for recording simultaneously. Accurately record or reject documents based on established criteria.
- Issue written and/or verbal rejection statement for non-conforming documents. Answer general inquiries via phone, email and mail. Assist in-person customers with recording or research transactions.
- Scan documents, perform data entry functions, process fees and transfer taxes. Search existing recordings to retrieve requested document copies. Calculate, verify and enter fees due and balance all transactions daily. Audit the permanent index and complete back indexing.
- Research real estate inquiries using archive dating back to 1835. Archive formats include microfilm, paper records, digital images. Clearly reproduce records from all formats of retention. Retrieve and re-file records from on-site and off-site storage.
- Notarize standard real estate documents in accordance with statutory requirements. Maintain notary commission and renew as necessary by taking appropriate exam and completing application. Maintain appropriate seal/stamp to perform notarial acts.
- Perform other duties as may be assigned.
- Current resident of Wisconsin
- High School Diploma or GED equivalent
- At least one (1) year of recent Customer Service experience -Preferably in a library or archive librarian, banking or Register of Deeds setting
- Ability to lift/carry up to 20lbs and push/pull up to 20lbs on a frequent basis
- Have a current Notary Public Commission or willing to obtain one within 1 year of employment start date and maintain/renew as needed
