Programs Assistant/Intake Coordinator
- Manage the agency referral process.
- Answer phones and take referrals over the phone, via fax or mail and process.Track referrals for reporting and trends.
- Prescreen referrals from clinical perspective to determine level of needed intervention.
- Assign to program based on reason for referral.
- Notify referral source of receipt of referral.
- Complete pre-screening process for all incoming referrals.
- Verify Medicaid eligibility
- Follow-up on referrals with incomplete or incorrect information.
- Address crisis calls as necessary.
- Track all consumers for unscheduled, scheduled, completed, or missed psychological/psychiatric appointments.
- Manage employee and Staff records
- Ensure all approved authorizations are processed and assigned to a program and "team" within required timeframes.
- Maintain office calendar to coordinate workflow, meetings, and consumer appointments.
- Maintain confidentiality in all aspects of client, staff and agency information.
- Assist Medical Records Coordinator with auditing files according to APS guidelines.
- Interact with visitors and potentials referrals sources, when needed.
- Answer telephones and transfer to appropriate staff member.
- Open, sort and distribute incoming correspondence, including faxes and email.
- Scheduling and follow up with client's doctor appointment when needed.
- Prepare responses to correspondence containing routine inquiries and contracts.
- Coordinate and maintain records for staff, telephones, and office keys.
- Assist in daily housekeeping.
- Create and modify documents such as reports, memos, and letters using word processing, spreadsheet, database and/or other presentation software (i.e. Microsoft Office)
- Attend all scheduled meetings to transcribe, compile, and distribute meeting minutes;
- Be available and provide support to management team upon need and/or request.
- Comply with agency policies;
- Comply with applicable local, state, and federal licensing regulations;
- Project a positive image of Miracle Houses, Inc. and its programs to the community, and other stakeholders.
Qualifications/Requirements
Qualifying experience for this position includes at least two (2) years of specialized experience which is directly related to the position, and has equipped the applicant with the particular KSA's to successfully perform the duties of the position.
Salary : $15 - $18
