We are seeking a high energy, detail-oriented individual to ensure the smooth running of an office.
Main Duties and Responsibilities:
- Answer company phones and greet visitors.
- Organize, prioritize, and handle/process multiple, sometimes competing, requests.
- Control visitor flow of office.
- Maintain office security systems.
- Prepare office space for moves, new equipment and allocate space requirements for new employees.
- Assist with event planning (e.g. off-sites, workshops, conferences, internal team events, etc.).
- Maintain overall appearance of the office.
- Oversee Mistral’s IT, including printers and phone systems and train employees on use of office equipment.
- Draft office procedures relating to common use equipment and space.
- Take inventory of supplies and office needs, and purchase supplies as approved by supervisor.
- Assist HR representative, senior management, and office personnel as needed.
- Package orders for shipment.
- Arrange for refreshments for meetings.
- Act as liaison with building management.
- Other duties as assigned by Management.
Job Requirements:
- Minimum of 3 years’ experience as an Executive Assistant, Office Assistant, or Receptionist.
- Education: Bachelor’s Degree preferred
- Working knowledge of Microsoft Office 365.
- Ability to think quickly, multi-task effectively, and be detail oriented.
- Ability to quickly recognize the impact of decisions on the company.
- Ability to present a professional image as a company representative.
- Ability to delegate tasks and follow up.
- Requires a high level of positive energy and organizational skills.
- Ability to maintain confidentiality, diplomacy and discretion in all dealings with clients and staff.
- Ability to work as a team player.
