The Department of Animal and Range Sciences at Montana State University has an annual enrollment of ~435 students pursuing Bachelors-degrees in Animal Science (Science, Equine Science, Livestock Management & Industry), Natural Resource and Rangeland Ecology (Rangeland Ecology & Management, Wildlife Habitat Ecology), and Ranching Systems and ~35 Masters, and PhD students. Our students at all levels are preparing for diverse, important, and exciting careers managing ranching enterprises, livestock, wildlife, their habitats, and the environment. This position will be a key contributor to the Department’s commitments to student education and ensuring a well-trained workforce with key responsibilities in student recruitment, persistence, and success both during their time at Montana State University and as they transition into the workforce. We therefore seek a passionate, enthusiastic, and energetic individual to join us to oversee our student success efforts.

Duties and Responsibilities
  • Serve as the main departmental point of contact for all major/minor seeking students, providing information and support for students considering or actively transitioning into one of the AnRS’s programs.
  • Work with faculty, certifying officer on transfer, substitution, and restricted entry coursework.
  • Work with faculty, Curriculum Committee Chair, and Registrar’s Office to schedule or update semester course offerings, update course catalog, submit new course proposals, renew Core course designations, locate and reserve classrooms to fit course technology and capacity needs, schedule remedial and extracurricular study sessions.
  • Analyze and process requests for petitions for withdrawals, core credit, graduation, and suspension appeals, etc.
  • Provide faculty updates on undergraduate academic advising materials and course information and assist the Department head in assigning students to faculty advisors.
  • Assist the AnRS graduate student program by managing and implementing associated departmental and university policies and procedures in conjunction with the Graduate School, Registrar’s Office, and the Office of International Programs.
  • Oversee and process application materials for AnRS graduate degree programs, including responding to prospective student graduate program inquiries.
  • Assist the AnRS graduate committee in selection of graduate student applications.
  • Assist students and graduate committees with various forms for the Department and Graduate School, including program assessment, thesis defense, comprehensive exam, qualifying exam, and graduation forms.
  • Plan, coordinate, and participate in departmental student recruitment, engagement, and graduation efforts and events.
  • Serve as department liaison with the College of Agriculture Advising team and Advising Commons.
  • Archive course syllabi and associated materials.
  • Coordinate semesterly course and advising evaluations as required.
  • Organize and maintain electronic student files.
  • Oversee departmental graduate tracking efforts maintaining job placement rates, employer, and position advancement data.
  • Work collaboratively with other AnRS support staff to update and maintain academic related webpages, including the graduate student directory, departmental brochures, and other student resources, and build and maintain a social media network of departmental graduates
  • Analyze, maintain, and report out statistics on student numbers by program major and option and persistence and retention rates among AnRS faculty-led classes
  • Assist department head, faculty, office manager and administrative staff in day-to-day operations, with an emphasis on student services, as needed.

Required Qualifications – Experience, Education, Knowledge & Skills
  • Bachelors degree OR two years of post secondary education.
  • Three years of full time (or part time equivalent) progressively responsible administrative experience or an equivalent combination of relevant education and experience.
  • Demonstrated experience working with and assisting students.
  • Basic computational experience (e.g. Microsoft Office, Adobe, or similar), including formatting professional documents.

Preferred Qualifications – Experience, Education, Knowledge & Skills
  • Demonstrated experience organizing and prioritizing multiple work assignments, meeting deadlines, and exercising adaptability with close attention to detail, while maintaining a positive and professional demeanor.
  • Demonstrable experience in recruitment activities.
  • Website / social media application design and maintenance.
  • Data collection, maintenance, and basic analysis ability
  • Knowledge of the agricultural and/or rangeland ecology industries.

  • Excellent written and verbal communication skills and the ability to articulate detailed information and policies and procedures, both verbally and in writing to a wide variety of constituents;
  • Manage sensitive and confidential situations and records appropriately.
  • Troubleshoot problems and have candid conversations.
  • Establish and maintain productive and positive working relations with co-workers, faculty, students, supervisors, and the public.
  • Work independently with minimal supervision and as part of a team.
  • Possess, or be willing and able to develop a thorough understanding of MSU computational tools, including Banner, Astra, Canvas, Course Scheduler, College-Net, NavMSU, and CIM, registrar forms, policies, procedures, resources, and deadlines.
  • Interpret, implement, and communicate new policies and procedures.
  • Represent the Department of Animal & Range Sciences, the College of Agriculture, and MSU in a professional and courteous manner.
