Job Title: Service Dispatcher
Position Summary:
The person in this position will be responsible for receiving service calls, scheduling and dispatching field service technicians, maintaining records such as labor tickets, work orders, and planned maintenance files. The person must have good communication skills, organizational skills a must, customer orientated, work well under pressure, have experience using a computer terminal, and be able to work with and handle personnel problems.
Position Responsibilities:
Daily:
· Receive service calls from customers
· Dispatch field service technicians.
· Process labor tickets and work orders
· Communicate to customers when we are unable to meet our commitments
· Update all internal communication boards on progress of field service calls
· Communicate to the parts department the needs of the field service technicians
· Review the work in process report for field technicians and close out the work orders as quickly as possible
Weekly:
· Calculate the previous week’s efficiency for the field technicians
· Set up the P.M. call schedule for the next week and contact the customers
· Perform an inspection of the field service vehicles for appearance and safety
Monthly:
· Provide a monthly report on the activities of the field service technicians including the number of calls received, calls completed, average response time, and number of calls still open
· Maintain a record of field service vehicle expenses for fuel, maintenance, and P.M. service
Annually:
· Participate in the annual review process with the service manager
· Provide a report on the current status of all the field service vehicles; including those that need major repairs or replacement
Accountabilities:
· Is Accountable for the level of customer satisfaction for field service response time and quality completion of repairs
· Is accountable for meeting the field service sales goal as established by the service manager
· Is accountable for recording all infractions of company policies by the field service technicians and reporting those infractions to the service manager for processing
· Is accountable for tracking the efficiency of all the field service technicians and reporting to the service manager those individuals who are not meeting the minimum requirements
