General Function:
Assist the Credit Administration Officer with the maintenance and efficient functionality of the Credit Administration and Loan Operations functions. Update systems with file maintenance information, scan/index loan and credit files, track exceptions and other documents pertinent to the loan file, process insurance documentation, assist customers and lending personnel with inquiries as needed, and/or provide necessary documentation as requested. Assist with collecting data for audit/exams, including pulling loan files, loan maintenance reports, etc.
Essential Functions:
Loan Operations Department Administration
- Maintain accurate loan and credit records by updating appropriate electronic and/or paper files as new information is received, including the daily processing of insurance documentation, addition of loan documents, verification of information, and other information as appropriate.
- Ensure that loan and credit files are scanned and indexed to Synergy within the specified timeframes.
- Coordinate appropriate communication with loan officers, account executives, brokers, title companies, escrow companies, closing agents, realtors, borrowers, etc.
- Answer and resolve incoming phone calls, either by handling the inquiry or by routing to the appropriate person. Provide fast, efficient, helpful, and accurate assistance.
- Review, process, and route mail and other written correspondence to the credit administration and loan operations department.
- Assist the Department with the processing and finalization of loan, as needed; process coupon books; assist with annual escrow analysis; follow up and assist in other ways as needed.
- Review, maintain, and update daily and other regular reports; prepare other reports and assist the Department in gathering information for audits and exams, as needed.
Compliance
- Diligently protect confidential information, and assist the Bank in ensuring that all confidential and sensitive information is handled appropriately.
- Maintain an active awareness and understanding of policies, procedures, designated authorities, regulations, and laws, including but not limited to, the Bank Secrecy Act, Anti-Money Laundering Act, etc. Follow these at all times.
- Communicate openly with supervisors and other management about policies, procedures, work conduct, and job functions. Ask questions to clarify any uncertainty in issues.
- Address and report suspected violations of policy, procedure, Bank Secrecy Act, Anti-Money Laundering Act, and other laws and guidelines, as outlined in the Code of Conduct. Reported information will be kept confidential.
- Participate in training sessions and policy updates as necessary. Assist with coordination of scheduling as appropriate.

Qualification Requirements:
- High School diploma or equivalent
- 1-2 years of banking, lending and/or loan processing experience
- Excellent interpersonal, verbal, and telephone communication skills
- Strong organizational skills and attention to detail
- Tact and pleasantness in dealing with customers and Team Members
- Computer proficiency
Preferred Qualifications:
- Extensive loan processing experience
- Banking experience
- Knowledge of tax returns and pre-qualification of borrowers
- Customer service experience
- Knowledge of all loan types offered by the bank
- Knowledge of banking regulations
