The Benefits Assistant supports the daily administration of complex clerical work in the Benefits Department. The Benefits Assistant is responsible for providing day-to-day benefits support to all business units and serves as the main point of contact for benefits-related inquires and requests.

Job Description : ESSENTIAL DUTIES :

Medical and Dental Plans :

  • Monitor and maintain employee / retiree / dependent eligibility records on a monthly basis with all providers
  • Assist employees and retirees with coverage and claim questions
  • Assist locations in enrollment of new employees, which includes generating enrollment forms and processing family status changes; includes communicating these changes to the various providers
  • Update eligibility and payroll files with family status changes
  • Assist retirees with enrollment in medical plans and Medicare
  • Communicate regularly with COBRA administrator regarding participant eligibility
  • Coordinate and process all medical, dental, vision, FSA, and COBRA billings, both weekly and monthly
  • Oversee the weekly interfaces for all lines of benefits (i.e., weekly electronic enrollment file to medical insurance provider)
  • Set-up / monitor retiree medical, disabled medical, and surviving spouses' process log and monitor receipts of premium payments, and for direct payments, create vouchers for deposit of checks
  • Coordinate with payroll on payments for employees on leave of absences; take actions accordingly
  • Administer Health Care (HCRA) and Dependent Care Reimbursement Accounts (DCRA); process invoices from Third-Party Administrator, including an allocation of medical and dental billings and administrative fees among the various locations (weekly) based on location of employees / retirees / dependents
  • Work with administrator in resolving claim issues
  • Regularly update administrator on eligibility changes and enrollments
  • Review spending accounts at year end and notify employees of remaining balances
  • Advise employees regarding covered expenses and filing issues
  • Assist HCRA and DCRA plan participants on covered expenses and filing issues
  • Prepare annual mailouts for Medicare eligibility, retiree open enrollment, ACA 1095 distribution

Insured Welfare Plans :

  • Maintain employee and dependent eligibility and benefit records for Life and AD&D plans
  • Manage approved and denied evidence of insurability, notifying payroll of deduction changes
  • Assist with filing life and disability claims, working directly with the carrier and employees
  • Monitor the transition from Short-Term Disability (STD) to Long-Term Disability (LTD) with vendor
  • Assist in LTD process, including tracking STD hours through time sheet to point of LTD eligibility, facilitate employees' requirements
  • Assist the annual benefit open enrollment, coordinating with location HR departments, and includes reviewing eligibility and life insurance limits that require underwriting approval
  • Send weekly and annual medical enrollment file, working with medical and dental insurance provider to ensure accuracy
  • Assist in maintaining benefit supplies, including Summary Plan Description, brochures and enrollment forms
  • Process medical claims for IHM retirees
  • Assist with processing Black Lung medical claims and monthly benefit payments
  • Assist in providing communication to employees concerning all employee benefits
  • Monitor retiree and disability premium payments
  • Prepare correspondence and reports utilizing Windows Word and Excel
  • Monitor workers' compensation claims; coordinating payments with provider and assisting employees in filing claims
  • Administer HSA / HRA, reviewing weekly reports for Patriot Act, processing reversals of funds and watching for overcontribution
  • REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Must be familiar with medical and dental terminology
  • Experience working with insurance providers
  • Knowledge of medical coding a plus
  • Advanced computer skills using applicable Windows word processing and Excel spreadsheet software required
  • Must be extremely detail oriented
  • Must be able to communicate effectively, verbally and in writing, with all levels of employees and outside contacts
  • Must be able to interpret standard practices / guidelines / procedures / plans in order to answer questions and solve problems
  • JDE software knowledge a plus
  • Workday knowledge a plus
  • REQUIRED EDUCATION AND EXPEREINCE

  • Four-year degree preferred plus a minimum two years of related experience, or equivalent combination of education and experience
