Job Title: Events Assistant

SUMMARY
Works as a partner to the Events Coordinator in all department needs, primarily focusing on children’s events and activities; provides departmental coverage during scheduled rental events under the direction of the Events Coordinator; oversees and operates children’s birthday parties; provides sales tours to patrons; set-up the facility for regular Museum operations event; assist in public fundraising events planning, coordination, and operation; assist with children’s educational events & programs
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned as required.
Works at and acts as liaison between event patrons, vendors, and Museum staff to ensure all aspects of a private event runs smoothly.
Maintains wedding vendor websites, communicating with prospective rental clients and scheduling tours.
Provides tours of the facility for prospective rental clients.
Assists with collection of payments, answering questions, and other office duties under the direction of the events coordinator.
Oversees and operates children’s birthday parties.
Develops and provides prompt and effective solutions for patrons.
Assists in providing copy and editing information pertaining to private and assigned special fundraising events for Museum’s website and other marketing sources.
Assists with planning and the execution of all aspects of public Museum fundraising events developed in the events department including Festival of Trees, Great Bunny Train, Great Pumpkin Train, Polar Express and an early summer event.
Aids with set-up and works all dates of Polar Express and Rails and Ales; works some dates of Terror on the Fox.
Assists operations staff in cleaning the facility after rental event, including putting away tables and chairs, kitchen, restrooms, floors, trash removal, and windows.
Assists with maintaining stock, cleanliness, and functionality of events equipment including, but not limited to chairs, tables, linens, pipe and drape, projection screen, projector, audio equipment, etc.
Assists the education department with children’s educational events and programs.
Attends wedding shows and industry tradeshows to market the Museum facilities.
Provides security for Museum collections and patrons.
Helps ensure volunteers, lessees, interns, and vendors follow Museum policy and procedures.
Works as Manager on Duty an average of one weekend day per month.
EDUCATION/EXPERIENCE: High School Diploma or equivalent ; 1 – 3 years experience in a customer service or hospitality capacity; excellent verbal interpersonal skills and attention to detail required.

Frequent standing, walking and sitting; occasional driving.
Must be capable of using hand(s) for repetitive single grasping, fine manipulation and
pushing and pulling.
Ability to communicate orally in a clear manner.
Ability to distinguish sounds at various frequencies and volumes.

Must be able to climb a six-foot ladder.
