The Intake Enrollment Specialist plays a crucial role in assessing and determining the eligibility of clients and prospective clients for participation in the Economic Mobility Center. This position involves conducting in-depth interviews, gathering detailed qualitative data, and creating thorough case notes to ensure accurate and effective service referrals. The Intake Specialist is responsible for reviewing each applicant’s situation, identifying their specific needs, and directing them to the most appropriate services and resources available through the Economic Mobility Center (EMC). Additionally, the Intake Enrollment Specialist is an ambassador of NEW’s mission, actively contributing to the organization’s objectives and ensuring alignment. As an ambassador for the organization, this person is also responsible for actively supporting the overall mission and vision of NEW.

The ideal candidate should possess strong interpersonal and communication skills, with an ability to listen actively and empathetically. Experience in conducting interviews, gathering information, and documenting detailed case notes. Knowledge of community resources and services, and the ability to make thoughtful referrals. Additionally, the ideal candidate should possess the following expertise, experience, and skills to successfully fulfill the duties and responsibilities outlined below:
Duties and Responsibilities
Program Facilitation:
- Actively listen to and engage with 100-200 community members per month to understand their needs, challenges, and aspirations.
- Accurately document detailed case notes for each individual or family, capturing their current situation, goals, and needs.
- Collect and verify required documentation, including proof of identity, residence, and income, ensuring compliance with program guidelines.
- Administer program enrollment forms with precision, ensuring all necessary details are captured and accurately recorded.
- Provide clear and concise verbal and written descriptions of the EMC services to clients, ensuring they fully understand the services and resources available to them.
Conduct thorough assessments to determine clients’ needs, thoughtfully referring them to the appropriate internal services or external community resources. - Distribute transportation assistance to clients upon enrollment, helping ensure they have access to necessary services.
- Foster high levels of interaction with the community to gather feedback, offering insights to help shape and enhance both internal programs and external partnerships.
- Assist in the preparation of reports for local government, funding agencies, and community partners, ensuring timely and accurate submission of required data.
Customer Support:
- Create and maintain a welcoming, orderly, and neat environment
- Greet and assist individuals with exceptional customer service
- Assist with general customer applications and referrals
- Ensure customer file contains complete and updated information to include, but not limited, assessments, referrals, services, and case notes
Administrative Support:
- Provide general office and administrative support to staff, contributing to the overall efficiency of the program operations.
- Input customer data and assist with data entry tasks as needed
- Support the planning and facilitation of community events, ensuring that EMC’s services and resources are effectively promoted and accessible.
- Perform other related duties as necessary
Qualifications and Experience
- Minimum two (2) years of experience in related environments.
- Possess thorough knowledge of laws, regulations and guidelines related to confidentiality
- Excellent written and verbal communication skills, including the ability to, handle sensitive and confidential issues in a professional manner and manage crisis situations
- Proficiency in Microsoft Office programs and applications, and database systems and softwares as needed by program.
Education and Experience
- Bachelor’s degree preferred – HS Diploma or equivalent some college (2-years)
- Minimum two (2) years of experience in related environments.
Additional Requirements
- Must have access to reliable transportation provide proof of current California driver’s license, acceptable driving record (current DMV H6 printout), and current liability auto insurance
- Fingerprinting and TB Clearance
- Certified CPR
- Flexible with working hours, including evenings and weekends
- Bilingual a plus
