Description
The Accounting Assistant provides bookkeeping and accounting support to NH Public Defender in accounts payable and payroll services. This position also serves a critical internal auditing function, ensuring that invoices are accurate, that established accounting procedures are followed in the payment of goods and services. This position is also responsible for preparing and submitting bi-weekly payroll. May perform other related duties as required and assigned. This position works with, and under the direct supervision of, the Director of Finance.
Key Responsibilities: Review all invoices and bills; obtain appropriate documentation and approvals prior to payment. Assign appropriate expense account, location sub-account, and accounting period. Enter data into accounting system, prepare checks for signatures according to internal accounting guidelines, and distribute signed checks. Reconcile accounts, resolve discrepancies, prepare analysis of accounts as required, and answer vendor inquiries. Maintain accounts payable reports, spreadsheets, corporate accounts payable files, and any other archival files as may be requested.
Prepare and enter all relevant time and expense report information into the payroll program. Review and process bi-weekly payroll.
Other duties as required, including: sort and distribute mail for administrative unit; coordinate Program purchases of notary stamps/seals and law books; prepare court required reimbursement requests and compile A/P and other documents requested in support of audit process.
Requirements
Qualifications: Associates degree in accounting or two years of experience in bookkeeping or accounting. Strong organizational skills and ability to work independently with minimal supervision. Proficiency with standard office computer programs, including database applications and accounting systems. Demonstrated commitment to working on behalf of low-income clients or in a public service or non-for-profit setting preferred.
Skills and Abilities: Proficiency in using a variety of computer software applications, especially Microsoft Word, Outlook, and Excel. Paylocity and Accufund knowledge helpful, but not required. Poise, discretion and a high level of interpersonal skills to handle sensitive/confidential situations and documentation, and to maintain effective working relationships within and outside the Program. Reliable arithmetic computational skills, attention to detail in data-entry, typing and proofing materials, computing lengthy accounts, establishing priorities and meeting deadlines. Must be able to manage multiple tasks and demands.
Salary : $36,300 - $45,900
