The New York State Education Department (NYSED) is seeking candidates for an Administrative Assistant position in the Office of the Commissioner of Education. The responsibilities of the Office of the Commissioner of Education are diverse, extensive, and demanding. In cooperation with the Assistant to the Commissioner, the incumbent of this position will coordinate secretarial and administrative office operations in a discreet, tactful and confidential manner. Duties of this position include, but are not limited to, the following:
Minimum Qualifications
Candidates must have high school diploma or high school equivalency diploma; and three years of experience in administrative support**, which includes use of office software (e.g., email and word processing), the provision of customer service, business writing, and management of an office.

This position is in the exempt class and the incumbent will serve at the discretion of the Commissioner of Education. Salary will be commensurate with education and experience. Candidates should be aware that changes in negotiating units may affect their salary, insurance, and other benefits. Rigorous verification of education and/or experience will be required at the time of interview for all candidates. This position’s Jurisdictional Class is currently listed as Pending Exempt. Upon Governor approval it will be placed in the Exempt Jurisdictional Class. Filling of this position is contingent upon Division of the Budget approval.

Duties of this position include, but are not limited to, the following:
- Open, review, and sort all incoming mail and e-mail that is sent to the Office of the Commissioner of Education, and route mail for appropriate action using independent judgment while referring critical issues to the Assistant to the Commissioner and/or the Commissioner;
- Assist with the response to routine correspondence;
- Answer the telephone, respond to questions concerning general Department procedure, and refer calls to appropriate staff throughout the Department for assistance;
- Track all correspondence received in the Department from the Governor’s office; monitor correspondence response time and generate monthly reports for review;
- Work with the Assistant to the Commissioner on tracking the monthly Regents meeting materials for the Commissioner’s review and approval, and
- In the absence of the Assistant to the Commissioner, act as the Commissioner's liaison to manage the Commissioner’s calendar, complete assignments, and schedule meetings.
Minimum Qualifications
Candidates must have high school diploma or high school equivalency diploma; and three years of experience in administrative support**, which includes use of office software (e.g., email and word processing), the provision of customer service, business writing, and management of an office.
- Certification (e.g., IAAP Certified Administrative Professional), diploma, or associate degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.
Preference may be given to candidates who have:
- At least five years of progressively responsible secretarial and/or administrative experience, including well-developed computer, typing, customer service and writing skills;
- The ability to work independently and be flexible with workhours and assignments to accommodate the constant changing of priorities and workload;
- The ability to provide an exemplary level of customer service, maintain confidentiality and demonstrate a commitment to excellence, accuracy and efficiency; and
- The ability to comfortably work in a high-profile office that is at the center of activities related to the daily operations of the Department.
