NATURE OF WORK: Under direct supervision, this position is responsible for receiving and directing callers and visitors and performs a variety of routine clerical tasks pertinent to assigned department. Incumbents may operate a telephone system with specialized functions for the entire organization or accommodate a smaller designated department.

- Answers telephone giving name of department; directs caller, based on nature of call, to appropriate department or person, may take messages from callers.
- Greets visitors, determines nature of business, directs them to appropriate department/person and notifies appropriate person of visitors' arrival.
- Answers inquiries and provides information or assistance to callers and visitors which requires knowledge of office policies and procedures.
- Receives, date stamps, separates and distributes incoming mail or other materials to department; determines appropriate receiver based on subject of correspondence or mail.
- Monitors schedules or observes arrivals and departures of department staff to remain current on status of each.
- Performs a variety of clerical duties pertinent to type of department or organization such as filing and retrieving correspondence according to alphabetical or numerical system and typing various department forms, memos or documents; stuffs, addresses and labels envelopes; photocopies; and records/schedules use of conference room.
- Performs other related duties as assigned.
- Willingness to learn:
- Basic office procedures.
- Telephone etiquette and courteous communications with public.
- How to operate of a variety of office machines including, personal computers, telephones and copiers.
- Ability to effectively communicate.
- Ability to maintain confidentiality.
- High School diploma or GED equivalent
- Some telephone, clerical and/or public contact experience is preferable
