SUMMARY OF POSITION:

This position will serve as the full time receptionist of The Welcome Center. This role includes welcoming families, students, staff, and visitors while ensuring all visitors follow appropriate procedures, and doing so while creating a friendly and welcoming atmosphere. The receptionist also assists in managing mailing and room reservations for staff wishing to reserve space.

Pay Grade: Classified


ESSENTIAL DUTIES AND RESPONSIBILITIES:


Welcome Center

  • Greet and welcome guests as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen, and forward incoming phone calls in a prompt and courteous and professional manner
  • Provide basic and accurate information in-person and via phone/email
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures)
  • Receive and route all incoming district office U.S. mail and intra-district mail, and prepare bulk mailings
  • Maintains records of postage, courier, etc., including correct documentation for budgeting purposes.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Maintain a high level of ethical behavior and confidentiality when dealing with families and staff information support as required
  • Provide support to the Community Partnership and Engagement team
  • Other duties as assigned


QUALIFICATIONS AND REQUIREMENTS:

  • High school education or GED
  • Ability to relate to diverse groups of people
  • Excellent computer skills including familiarity with Google tools (Drive, Docs, Sheets etc.) and Microsoft Word and Excel
  • Strong customer service orientation
  • Well organized, yet flexible
  • Detail oriented
  • Experience working in an office environment
  • Excellent interpersonal skills including the ability to relate effectively with tact, courtesy and discretion with staff, children and parents while maintaining confidentiality
  • Able to communicate clearly both verbally and in writing
  • Mobility to move in and around building

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to walk and use fingers, tools, or controls. The employee is occasionally required to stand and reach with hands and arms. Specific vision abilities required by this job include close vision, color vision, and depth perception. Occasionally the employee will lift up to 50 lbs. such as to lift files and paper.
