General Definition
Claims Assistants work in an office setting, performing administrative duties and maintenance of claims files. They assist managers, examiners and adjusters in daily operation of the office.
Special Training, Education, Knowledge, And Skills Required
College degree, or comparable business experience preferred. Proficiency with computer operation and software, including Microsoft Windows and Office. Ability to conduct business in an appropriate manner with clients by telephone, email and in person. Dependable, responsible person, able to work independently and work well within a team. Organization, accuracy and patience required.
Major Duties of Position (some may not apply)
Customer service including in person, email and telephone support, routing calls and messages to the appropriate party. Monitor the office email mailbox.
Complete system entry, correcting errors when necessary. General system entry includes financials, assignments, stop pays, loss reports, etc.
Assist adjusters by providing instructions to insureds/claimants, delivering checks, obtaining signed claim forms, ordering police/theft reports, ordering appraisals, generating standard forms & letters, etc. when appropriate/requested.
Mail and Document Processing: Retrieve, process and prepare mail received from all sources (USPS, Courier and Electronic) for input and distribution. Input documents to claim files via scanning, uploading, etc., tasking as necessary. Route mail and index/task documents to intended recipients, recognizing and prioritizing time sensitive information and original documents. Organize, store and purge paper and electronic documents/information per guidelines.
Maintain and handle service calls for assigned office equipment.
General office duties including ordering supplies, etc.
Cross-train with examiner and other assistant positions as needed.
Assist Examiner and Manager in daily claims operations.
Other duties as assigned by management.
