Summary

This role also coordinates administrative services, ensures compliance with policies, supports public information requests, and provides training and process updates. This role reports to the Construction Engineering Manager.
- Pay Range: $26.81 - $35.28 - $44.10***
- Retention Bonus: $2000***
Responsibilities
- Administers the collection, authorization, publication, storage, retrieval, and retention of documents to ensure control and availability of documentation to personnel. This includes electronic and paper files.
- Coordinates with appropriate personnel to initiate action on incoming correspondence, reports, and other project documentation.
- Coordinates administrative services for asset management, central files, and open records requests.
- Implements and interprets administrative policies and procedures.
- Plans, coordinates, develops, and implements daily administrative operations for project records retention.
- Administers document controls strategy, systems, and policies including, but not limited to publishing, version control, and archiving of project-related documents.
- Maintains the project record files.
- Prepares records for inactive storage according to the NTTA records retention schedule.
- Assists in answering questions and provides training for document control, record retention policies, procedures, and project management system use.
- Assists NTTA departments as necessary for project records retention, in accordance with NTTA records retention policies.
- Provides support to ensure policies and procedures are regularly reviewed and updated.
- Implement and coordinate public information access requests generated from legal through completion.
- Manage the Project Delivery global file structure, both electronic and paper.
- Assists in supporting and implementing process and procedure updates and communicating those with external and internal staff.
- Maintain and implement improvements to the document control and record retention program.
Minimum:
- High school diploma or GED
- 5 – 7 years of experience in document control
- Previous experience with implementing, maintaining, and/or managing electronic quality management systems
- Ability to manage large volumes of documents systematically and efficiently
- Demonstrated strong analytical thinking skills and attention to detail
- Strong communication and effective interpersonal skills to collaborate with various departments and stakeholders
- Ability to clearly communicate, both verbal and written, with all levels of organization
- Must be able to work/support multiple projects simultaneously and demonstrate organizational, prioritization, and time management proficiencies
- Proficient technical writing and document management tools (e.g., Microsoft Word, Microsoft Visio, Microsoft Excel, and Adobe) and with quality systems
- Ability to work independently and collaboratively with cross-functional departments in a fast-paced environment with minimal supervision
- Proficient in document management systems
- Paralegal certificate or equivalent degree
- Technical writing
- Knowledge of docketing or calendar systems
- Proficiency with public agency Open Records Requests policies
- Knowledge of public agency document retention policies and timelines
- Familiarity with construction/engineering/transportation fields
