JOB SUMMARY The Access Control Specialist will share oversight of the daily operations of the Access Control functions within the University and its’ Global Network. Supervise the part-time Access Control Technical Assistants and Contractors in the campus wide responsibilities of delivering top notch service to our customers across the University. Works close with access control contractors as necessary for the maintenance of existing access control installations and all other associated electronic security solutions to new and existing campuses. Build and maintain positive working relationships with the university community and with others in the Planning, Real Estate and Facilities Division related to the maintenance and improvement of academic, administrative, and residential buildings card access infrastructure systems. Responsible for hiring and management Access Control Technical Assistant part-time staff. Maintain inventories specific to Access Control needs. Initiate work orders and/or other actions to address card access system issues. Work with Planning, Real Estate and Facilities Division groups in planning and communicating service delivery in such a way as to be minimally disruptive to faculty, staff, and students. Regularly review backlog of work orders and work with appropriate units within Facilities to ensure follow-through and timely service delivery. Become familiar with capital projects to understand the operational and service implications of new construction. Provide 24-hour on-call support for building emergencies and take a lead role for Planning, Real Estate and Facilities in responding to building related crises, ensuring an appropriate response and the earliest return to normal operating. MINIMUM QUALIFICATIONS Knowledge of electronic card access systems (preferably including CBORD CS Gold). Knowledge of supplies, equipment, and or services ordering and inventory control. Familiar with key management systems (preferably including Traka and SimpleK). Proficient in electronics, computers, and information technology. Excellent verbal and written skills, including the ability to establish and maintain positive working relationships across Planning, Real Estate and Facilities and with faculty, staff, and students. Demonstrated ability to manage multiple action items concurrently and to follow through to achieve the desired results. Ability to step in as a lead for Planning, Real Estate and Facilities during emergencies or crises situation, communicating effectively with customers and other responders to facilitate rapid, orderly, effective, and appropriate response. Ability to ensure adherence to established University and departmental policies and procedures, objectives, quality assurance programs, and safety standards.. Ability to monitor and or maintain quality control standards. Ability to supervise and train employees to include organizing, prioritizing, and scheduling work assignments. Strong interpersonal skills with ability to work effectively at all levels in a collaborative team environment having flexibility and customer service orientation. Knowledge and skills required for this position are normally gained through a Bachelor’s degree in a STEM discipline and work experience in security, facilities management, public safety, customer services or data management and at least three to five years’ experience managing access control systems, working with customers, staff, and contractors to maintain access control-related door hardware, and supporting systems/enhancements to new and existing buildings. KEY RESPONSIBILITIES & ACCOUNTABILITIES 1) Direct the daily operations of Access Control and staff. Manage electronic lock maintenance. Perform pre-approvals of all key-related work requests. Oversee wireless and hardwired access control hardware infrastructure. Prepare, approve, and process weekly schedules, timesheets, and payroll documents. Oversee and maintain facilities key tracking systems for security and audit purposes. Provide day-to-day management of the CBORD online keycard locking /authentication hardware and Onity standalone keycard system. Works with and helps maintain Key and Electronic Access databases (SimpleK). Facilitates issuance of keys/access control devices to contractors and vendors conducting work on University premises via Traka and Keytrack key sign-out systems. 2) Define, obtain/allocate resources, schedule and execute all card access proactive efforts (e.g. batteries replacements). Processes departmental requests for employee, student, and guest access to access control devices. Ensure expiration dates are included to prevent extended authorized access beyond specified time limits. Coordinates with Human Resources and department leadership to remove separated individuals from access devices. Participate in planning and scheduling of maintenance and repair especially within residence halls during intersession and summer orientation and conferences. Supervise part-time Access Control Technical Assistants and Contractors while they are working in buildings during intersession and summer sessions, as needed. Schedule and implement preventative maintenance of academic and administrative buildings during and outside of summers and intersessions. 3) Regularly review customer satisfaction surveys, provide feedback to the Operations and Service Supervisors regarding customer perceptions of service. Based on customer needs and working with the Planning, Real Estate and Facilities, helping to meet service levels for all. Serve as customer relations representative to interface between the PREF and University community. 4) Assist in responding to crises in Planning, Real Estate and Facilities by ensuring an appropriate response and an earliest as possible return to normal operating conditions. Help to ensure emergency back-up is available in order to take corrective action as necessary.
