Job Description
As the first person seen and the first voice patients hear, this position is essential for patient relations. Answering inquiries and obtaining and processing personal health information for our patients is the highest priority while remaining professional and calm to work through challenges that may arise.
Scheduling Coordinator Duties
- Phones: operate telephone to answer, screen and forward calls, providing information, taking messages and scheduling appointments. Getting all necessary information during the call. Always answering by the 3rd ring with a professional voice and script message. Checking message machine on a regular basis for missed calls for fast follow up.
- Greet persons entering practice; determine nature and purpose of visit and collect all necessary and pertinent information for this visit. Provide patient with accurate
- File and maintain all personal health information correctly into the computer system in a timely manner to help provider’s schedules. Uphold all HIPAA laws and regulations regarding this information.
- Collect, sort, distribute and process all other patient requests such as, referrals, request for records transfers, head start forms post op letters etc. and transmitting this information via electronic methods of email, postage or facsimile machine.
- Follow up on any information received or needed for patient appointment – such as, setting up interpreters calling prescriptions, verifying insurance issues before visit, etc.
- Calculate and collect any fees owed due to non-covered services, co-pays and being able to explain them. Collecting outstanding balances- before treatment is rendered and enter them into the computer system accurately.
- Patient relations: being aware of the conditions of the patients wait – actively looking for ways to help people, following up with people, communicating clearly and professionally in a nonthreatening manner. Being able to handle difficult situations and limiting patients when they are abusive.
- Being aware of provider’s schedule. Making sure patients are confirmed to help avoid fails, filling today and the next day’s schedules first before offering other appointments.
Daily Housekeeping Duties
· Cleanliness of the front reception area and front desk area represent the overall view patients receive of the whole dental clinic. It is very important to keep the front desk area looking clean and welcoming to all patients.
· Restocking office supplies when needed. Notifying supply clerk of reorders.
· Reporting all equipment problems to appropriate personnel.
· Maintaining a clean and organized work station and reception room.
· Counting cash drawer and being responsible for keeping change. Scheduling Managers are responsible for the cash drawer shortages.
· Opening and closing the building. In charge of all security systems being in place.

- Team work & Communication– being able to work cohesively with other fellow scheduling managers who are jointly filling one position. Able to follow direction and keep consistency with what and how things are done.

· This job requires prolonged sitting.
