Job Description
The Front Office Representative provides support to the clinic and physician in the areas of patient care by performing a wide variety of administrative duties. The Front Office Representative answers incoming calls, greets the patient and guides them through the check-in and check-out process. As the first impression for patients and visitors, they represent the clinic in a warm, welcoming, and professional manner. Successful candidates work well in a team environment and are empathetic to patients’ needs and concerns.
Essential Skills and Functions
- Greet patients and ensure smooth daily patient flow
- Answer incoming phone calls
- Schedules patient appointments
- Monitors and responds to front desk email messages
- Identifies special needs and takes appropriate steps to ensure patient appointments are scheduled according to set guidelines
- Check in patients to include updating and verifying insurance and demographic information in the EMR
- Rooms patients and takes vitals as necessary
- Ensure all new and existing patient forms are properly completed and documented in the EMR
- Check out patients to include collecting co-pays or deductibles and reviewing billed charges
- Verify insurance benefits
- Process incoming referrals
Qualifications
- Excellent customer service and communication skills.
- Empathetic to patient’s needs and concerns.
- Highly motivated and organized.
- Ability to work independently and prioritize daily tasks.
- Experience with insurance verification, referrals, and prior authorizations
- Experience with basic desktop software, medical practice management, and electronic medical record systems (eCW is preferred)
- Medical Assistant experience is a plus
- Fluent in English
- Excel under pressure with attention to detail
- Knowledge of and adherence to HIPAA rules and regulations.
