Time & Billing Specialist
Position Summary
The Time & Billing Specialist performs a variety of accounting support functions in the Finance Department. This position assists with maintaining client accounts, reviewing time and billing entries, updating records in the ERP accounting system, and recording client payments. This position will report to the Accounting Operations Supervisor with oversight from the Assistant Controller.
Your Contributions and Responsibilities
· Maintain accuracy of client accounts in the ERP accounting system
· Review employee and partner timesheets regularly for accuracy and completion
· Assist with and review client billing
· Process time and billing adjustments
· Email and mail monthly invoices
· Monitoring and answering questions in the support queue related to time, billing, client accounts and receivables
· Create and process invoices for the Marketing Department
· Create and process retainer invoices
· Process client credit card refunds
· Download and report on client confirmation and credit card transactions
· Follow-up on client accounts that have non-deliverable addresses
· Create journal entries for Accounts Receivable adjustments such as payment transfers, refunds, and write-offs
· Prepare ad hoc Time and Billing reports, as requested
· Enter daily deposits to ERP system
· Additional ad hoc duties and projects as assigned
Your Background and Skills
· Prior experience working in a professional service firm is a plus.
· Strong computer skills, including solid skill in the Microsoft Office suite, in particular with Excel, as well as experience using accounting software systems
· Excellent verbal and written communication skills
· Strong organizational and follow-through skills, performing work accurately with strong attention to detail
· Ability to meet deadlines and effectively prioritize a fast-paced and varied workload
· Sound understanding of financial concepts
Minimum Qualifications
Associate degree or college level coursework, preferably in accounting or finance, plus 1-3 years of related billing, accounts receivable or accounts payable experience and/or appropriate balance of education and work experience. Bachelor’s degree in accounting is preferred. Prior experience working in a professional services firm a plus.
