The Event Planner is responsible for securing multiple event vendors and manages sponsorship fulfillment for Novogradac’s national conferences ranging from 200-1000 attendees. The events planner plans the registration area, the exhibit hall, branded areas and the event reception. The events planner ensures all sponsors’ contractual benefits are met. This person reports to the Senior Events Manager and provides support with menu planning, hotel correspondence and with approval processes.
Conference Management
· Handle sponsor communications from the sale closing to post-event, ensuring sponsors are adhering to deadlines, receiving custom attendee lists by sponsor level, registration discounts, and following up as needed.
· Ensure the proper execution of sponsorship deliverables at the event, per contracts working with vendors on securing branded items and exhibit tables for each
· Research and secure outside vendors for events, ensuring a proper bid process and negotiating rates on items such as florals, furniture, photographers, and temp agency assistance
· Conducts pre-event site inspections to view the event space and compiles a site inspection presentation for planning purposes
· Collaborates on the design and management of conference networking receptions, including F&B and floorplan, with a keen eye on creating a fun environment that ensures consistent and proper branding for company and sponsors
· Designs exhibit hall and produces floor plans, increasing the profile of the exhibit hall by coordinating networking activities and ensuring appropriate brand promotion for each sponsor and Novogradac
· Plans and secures the signage and brand promotion for the event, working to identify opportunities for branding in the hotel space to ensure proper advertising of Novogradac and sponsor brands
· Follows all contract approval processes and manages the invoicing for all secured vendors within the designated period and budget
· Plans F&B menus and works with the Senior Events Manager on guarantees, dietary needs, and staying within the budgeted spend
· Coordinates vendor arrival and setup at conference hotels
· Serves at the main point of contact for all sponsors and vendors at the event, and manages the exhibit hall, registration area, and reception set up
· Manage event website SEO for all events with website coordinator.
· Tracks the environmental impact of our conferences and works with the Social Impact Office on ways to reduce our carbon footprint and reports on the success of those efforts including managing a carbon offset vendor per event
· Assist in tracking attendee count per session and during meals and records numbers for each
Hybrid Events
· Coordinate with virtual platform account rep and production team to secure event dates and ensure all needs are met
· Draft and send complete sponsor emails to ensure all deadlines for online platform are met
· Gather online sponsor exhibit booth materials and create individual sponsor exhibit booths that exceed sponsor standards
· Draft and send booth representative email to ensure all reps are prepared at the time of the event
· Coordinate and delegate day-of sponsor responsibilities as needed
· Assist Meeting Managers in opening and closing sessions as needed
· Draft, upload and monitor all platform push notifications
· Close and convert all conference sessions to on-demand
· Create Novogradac exhibit booths for company-sponsored events
Knowledge, Skills, Abilities
· Superior organizational and follow-through skills, performing work accurately with strong attention to detail
· Ability to meet deadlines and effectively prioritize a fast-paced and varied workload, effectively manage a variety of projects and concurrent/shifting priorities
· Excellent verbal and written communication skills
· Strong computer skills, including solid skills in the Microsoft Office suite; Experience with Smartsheets, Aventri, vFairs and Zoom is a plus
· Strong customer service orientation and ability to develop rapport with a variety of personalities
Minimum Qualifications
Bachelor’s degree in Marketing, Event Planning or Communications or related area plus 3-5 years of experience in events management and/or appropriate balance of education and work experience. Experience with planning corporate events ranging in 500-1,000 attendees or other high-volume event planning preferred.
Environmental Factors/Physical Requirements
This position performs primarily seated work in an office environment, and works utilizing primarily –a computer, keyboard and telephone. This position may need to move or lift items in a 10-50 pound range occasionally. This position may require work over 8 hours a day, night and weekends as needed. During conferences or other sponsored events, this position may have workdays requiring extended periods of standing/walking as well as performing lifting and carrying heavier items more frequently.

· Compensation: $78,000 to $85,000 depending on experience. More is possible if experience dictates.
