NYM Group is a growing Commercial Maintenance Company. We are currently seeking a PART TIME Receptionist/Administrative Assistant. The right candidate will have the ability to work in a fact paced environment and preform work requests in a timely-manner. The ideal candidate should be a motivated hard-working professional able to work diligently under pressure and multi-tasking, ideal candidate may be entry level.

*** PART TIME POSITION ONLY ** PART TIME - Monday - Friday 9-:00AM-1:00PM, On-Site

You will:

  • Greet, welcome, direct and accommodate visitors upon their arrival in a friendly and positive manner.
  • Always manage and maintain the front desk reception area with professionalism.
  • Answer and screen incoming calls and take accurate messages; route appropriately.
  • Manage incoming and outgoing mail, packages and deliveries.
  • Order and manage inventory of office supplies.
  • Organize and maintain office common areas.
  • Perform general office duties and errands.
  • Provide administrative support across the organization
  • Ensure reception area, conference room, and common areas are tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide support to accounting department but inputting Purchase Orders, Bills, Receipts into Quickboooks.
  • Assists team as needed to accomplish goals

Office Support

  • Write and distribute emails, calls, correspondence, letters, faxes, and forms.
  • Multi-task while reviewing emails and performing job duties
  • Perform clerical duties such as filing, photocopying, transcribing, scanning and faxing
  • Maintain filing system
  • Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.
  • Ensure reception area, conference room, and common areas are tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Order office supplies and keep an inventory of stock
  • Light office cleaning duties - cleaning, vacuuming, dusting as needed.
  • Assists the team as needed to accomplish goals
  • Maintain contact list
  • Data Entry
  • Handling and transferring incoming calls on a multi-line system

Requirements

  • Proven office experience
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task

If you know about the following its a plus….

  • Experience with AR and AP
  • Knowledge and experience of Quickbooks

Compensation: The rate for this position will vary and will be commensurate with experience

Pay: $19.00 - $25.00 per hour

Expected hours: 15 – 30 per week

Experience:

  • QuickBooks: 1 year (Preferred)
  • Administrative Assistant: 2 years (Required)
