Overview
NYSUT seeks a self-motivated experienced full-time Support Staff Specialist for its Program Services Department. The successful candidate will assist with all aspects of departmental virtual and in-person meetings, workshops, and conferences. The successful candidate will be expected to establish professional working relationships with multiple constituencies including NYSUT Staff and NYSUT Board Members.
Primary Responsibilities
· Independently perform logistical functions associated with annual statewide conferences including:
· Event planning
· Preparation of materials
· Online registration monitoring, housing reservations, and special requests
· Provide on-site and post-conference support (i.e., issuing checks, expense vouchers, mailings, evaluations)
· Maintain associated databases
· Provide administrative support and assist with coordinating the work of other administrative staff.
· Manage departmental SharePoint sites.
· Support and perform logistical work for NYSUT committees.
· Support office operations: such as tracking and reporting expenses, preparing expense reports, ordering supplies, calendaring appointments, scheduling travel, and other similar assignments.
· Document drafting, preparation and editing (letters, memoranda, and spreadsheets).
· Print, copy, organize/maintain files, filing systems, and electronic file systems, and maintain data bases.
· Assist with providing customer service to members, staff, locals, etc. via a variety of mediums.
· Provide project support: such as through research, data compilation, and information gathering.
· Set-up and manage Zoom meetings and webinars.
· Develop and maintain all necessary computer skills to perform all primary responsibilities efficiently.
· Work under minimal supervision.
· Other special projects and duties as assigned.
Qualifications
· Strong writing and proofreading skills.
· Must be detail-oriented with the ability to manage multiple tasks simultaneously.
· Must be proficient in Microsoft Office 365 and Zoom and have experience managing data bases and spreadsheets.
· Must be a self-starter, take initiative and work well in a fast-paced environment.
· Must have the ability to work independently, as well as within a team.
· Minimum 6-10 years of administrative experience strongly preferred.
· High school diploma or equivalent is required.
· Potential travel and occasional weekend or evening work as needed (if this is requested, overtime will be paid per contract).
