What are the responsibilities and job description for the GENERAL MAINTENANCE COORDINATOR position at OAA Orthopaedic Specialists?
Employee Type: Part-Time – 30-35 hours per week
Oversees the daily operations of facility services for all OAA office locations. Ensures that all OAA facilities are always inspected, conducts minor maintenance of building fixtures, and furniture. Inspects general maintenance repairs and building renovations.
Essential Functions:
- Responsible for the performance of facility maintenance such as light plumbing, changing light ballasts, bulbs, carpentry, painting, and other light repairs.
- Assist in budget, quotes management and cost control measures.
- Receives and stores maintenance supplies in an organized and safe manner.
- Assists in selecting suppliers, negotiating contracts, and services related to custodial, maintenance, and office equipment.
- Assists with checking facilities for safety hazards and reports any deficiencies.
- Understands OSHA regulations and safety compliance.
- Responsible for moving furniture and supplies as directed by Supervisor.
- Tracks maintenance repairs throughout the property and conducts daily/weekly building walk-throughs to identify areas of improvement and ensures cleanliness protocols.
- Responsible for effective communication, coordination, and working relationships with external clients, customers, contractors, vendors and landlords.
- Assists in Initiating and negotiating bids with contractors.
- Responsible for the positive and prompt response to maintenance requests through the Facilities Ticketing system.
- Performs regular “sweeps” of the workspace(s) to identify areas, items, equipment, materials in need of repair, replacement or upgrade.
- Coordinates building inspections and compliance and oversees inspection and testing of projects and identifies problems and resolves them quickly and effectively.
- Coordinate and communicate office fire marshal inspections with Property Management Group.
- Collaborates with Director of Clinical Operations in preparing Emergency Preparedness program.
- Collaborates with Safety Officer, communicates concerns, provides recommendations, and monitors resolution to ensure compliance with established safety policies and regulations.
- Responsible for negotiating service contracts – HVAC, Extinguishers, Cleaning Maintenance, Casting and X-Ray Equipment, Snow Removal, etc.
- Regulates workflow to ensure maximum efficiency. Monitors utilization of equipment, facilities, and personnel.
- Works closely with other departments to maintain schedules and implement changes and revisions in operational procedures.
- Responsible for maintaining effective communication, coordination, and working relationships with all Co-workers and management.
- Travel to OAA satellite locations is required.
- Other duties as assigned.
Supervisory Responsibilities:
Supervises Couriers by assigning and directing work schedules. Participates in the interview and hiring process of new couriers.
- Semi-skilled in basic maintenance trades: 3 years (required)
- High School Diploma or GED equivalent (Required)
- Must be able to lift 50lbs, bend, stoop.
- Excellent understanding of facility management procedures.
- Extensive knowledge of budgeting, service contracts, and leasing agreements.
- Ability to multitask and excellent listening skills.
- Ability to communicate effectively and develop and maintain effective relationships.
- Basic knowledge of electrical, plumbing, carpentry, and HVAC is a plus.
- Capable of handling emergency situations and implementing preparedness plans.
