Odyssey House is seeking an Admissions Scheduler to join our Admissions team!

Location: Salt Lake City
Compensation: $18.00/hourly
Schedule: Monday - Friday: 9 am - 5 pm

Job Summary: The Admissions Scheduler is responsible for managing client scheduling and waitlists to ensure efficient and timely appointment booking. This role is crucial in reducing wait times, enhancing client satisfaction, and optimizing resource allocation. The Admissions Scheduler will develop and implement a comprehensive system for scheduling appointments and managing waitlists, aligning with the agency’s strategic goals.
Key Responsibilities:
Scheduling Management:
- Develop and maintain a robust scheduling system for client appointments.
- Manage waitlists efficiently to reduce client wait times.
- Coordinate with various departments to ensure seamless appointment scheduling.
- System Implementation:
- Implement a new scheduling and waitlist management system.
- Train staff on the new system and ensure it integrates smoothly with existing workflows.
Client Relations:
- Communicate with clients to confirm appointments and manage any scheduling conflicts.
- Provide excellent customer service to enhance client satisfaction.
Data and Reporting:
- Monitor and analyze scheduling data to identify areas for improvement.
- Provide regular reports on wait times and scheduling efficiency to management.
Collaboration:
- Work closely with program directors, outreach teams, and other key stakeholders.
- Ensure that scheduling practices align with agency goals and client needs.
Continuous Improvement:
- Stay updated with best practices in scheduling and waitlist management.
- Propose and implement improvements to the scheduling system as needed.
Requirements
Education and Experience:
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Experience in scheduling, administrative support, or customer service, preferably in a healthcare or social services setting.
Skills:
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in scheduling software and Microsoft Office Suite.
- Ability to work independently and as part of a team.
