Retirement: The University contributes 4% of the regular salary with up to 3% additional in matched contributions into the TIAA Retirement Program. Employees receive two weeks of vacation until five years of service, three weeks of vacation until 10 years of service, and four weeks of vacation after 10 years of service, two weeks of sick leave, and three days per year of personal leave.
Pay Band: C Job Summary:
This position is primarily responsible for supporting the functions of the Registrar’s Office. Several of the chief tasks include maintaining student records, assisting students with registration (drop/adds), processing transcripts, data entry in Banner such as uprankings, changes of major, grade changes, academic release forms, etc., and recording transfer work. This position will also work with student athletic eligibility, catalog and semester course changes, updating the website, room reservations for special events and final exams, along with general clerical tasks such as opening mail, answering phone, and filing. This position will have a good understanding of the academic policies and procedures in order to respond to inquiries and to assist students, faculty, and staff.
Scope:
Support the Registrar’s Office through maintaining student records and performing a variety of clerical tasks.
Principal Responsibilities
  • Maintain student records in Banner and in paper and scanned files
  • Assist students with class registration
  • Process grade changes, credit hour changes, and academic actions (probation, dismissal, good standing, etc.) and other record changes
  • Perform general clerical tasks including ordering supplies, answering phone calls, answering email, responding to general inquiries, scanning documents, collecting and maintaining data, general filing, and opening mail
  • Receive and process transcript requests
  • Address student, faculty, and staff questions including technical information regarding Banner and WebFocus reports
  • Act as a back-up to other front-line staff during peak times or in their absence
  • Record transfer student work and distribute transfer evaluations to the Deans/Dept. Chairs
  • Record and distribute exam credit information
  • Monitor student athletic eligibility and assist in preparing documents to be submitted to the athletic conference
  • Update website, forms, and some documentation of processes
  • Maintain catalogs for each college
  • Maintain a record of all University courses
  • Build and maintain transfer articulations
  • Initial evaluation of domestic and international transfer credits
  • Reserve classrooms and academic buildings for special events and regularly scheduled and common final exams
  • Follow basic FERPA rules and regulations
  • Know basic policies and procedures of the University
  • Other duties as assigned by Registrar and Associate Registrar
Required Skills:
  • Excellent organization, communication and inter-personal skills.
  • Proficiency in Microsoft Office products
  • Advanced proficiency of Microsoft Excel and Word and Google Docs
  • Ability to perform moderately complex procedures using basic analytic ability
  • Ease in discussing important issues with higher officials through cooperation, explanation, and persuasion
  • Multi-tasking in a fast-paced environment
  • Ability to make recommendations or decisions affecting the entire department and beyond
  • Ability to communicate both orally and via written communication with persons of all levels while maintaining confidentiality
  • Ability to work with a high degree of accuracy and detail
  • Understand and follow basic FERPA rule and regulations
Minimum Qualifications:
High School Diploma or GED. At least one to two years of similar office experience.
Preferred Qualifications:
Associates Degree or higher in Business or Technology related field. Demonstrated ability to understand business processes and improve them with technological tools. Work experience in a higher education setting. Experience with BANNER database.
