Job Summary:
This position will perform, but not be limited to, scanning functions for the Office of the Registrar. Responsibilities will include document preparation, scanning, adjustments, and indexing of paper, film and electronic documents.
Index documents, verify clarity and quality, validate document categories, determine appropriate workflow group box assignments, monitoring the end-to-end document imaging processes, and making adjustments as needed. The position also provides status reports to appropriate supervisory personnel as needed; and manages incoming document handling from the imaging processes described above through to shredding.
Prepare documents for imaging. Includes removing staples, attached notes, or any item unable to be processed through a scanner; insert header sheets for each document type and/or individual person; prepare batches of documents for the imaging function with cover sheets as needed.
Scan prepared batches of documents into imaging system; monitor the process, making adjustments as needed.
Other duties as assigned, for example assist in training new staff members on all functions of imaging process.
