Client Support Associate
Old Port Advisors is currently seeking a full-time Client Support Associate to join our growing team in the heart of downtown Portland. Established in 1994, we pride ourselves on fostering a dynamic and collaborative work culture that prioritizes our clients' needs above all else. In this role, you’ll be the first point of contact for clients and visitors, playing a key role in delivering exceptional client experience. From greeting guests and preparing for meetings to assisting with account setup and supporting our advisory team, you’ll help ensure clients feel welcomed, informed, and well cared for.

Essential Duties and Responsibilities:
- Greet and assist clients and guests in a professional and welcoming manner
- Manage front desk duties, including answering phones, responding to emails, and scheduling
- Support advisors with onboarding, helping clients navigate online tools and preparing investment or planning reports
- Prepare and process documentation for new accounts, transfers, distributions, and other service-related requests
- Assist with client meeting preparation, including assembling materials and updating records
- Maintain accurate and organized client files and documentation
- Communicate with custodians and third-party providers as needed
- Order and manage office supplies; coordinate with building management as necessary
- Uphold strict client confidentiality and data protection protocols
Skills & Qualifications
- Associate’s or Bachelor’s degree preferred
- 1–2 years of experience in a professional office or financial services setting
- Excellent communication skills - in person, over the phone, and via email
- Highly organized and detail oriented with the ability to manage multiple tasks
- Friendly, positive, and professional demeanor
- Willingness to learn and contribute as part of a collaborative team
- Proficient with Microsoft Office Suite (Word, Excel, Outlook)
- Strong computer skills required for navigation of databases including management of customer records.
- Experience with CRM, Trading, and Financial Planning software a plus.
